Previuosly the default was No. See F8, E, 6, 7 17-08-11 Accounts:- New feature & utility. A new feature has been added to accounts payable that will check a data file of already used cheque numbers when you are entering new cheque numbers into the system. A warning screen will display indicating the cheque number, date used and the supplier who received the cheque/direct deposit. A utility has been created to buid the initial data file. After this, the system will automatically add the latest cheque references. See INS, 3, A. 16-08-11 Workshop:- Bundy system. When invoicing spares to a customer, the system will now check to see if the customer has any Machinery Stock orders or Stock Codes held in their name. This is to try and eliminate 'double ordering' of parts for a stock code and the customer. 16-08-11 Spares:- New Feature. A new feature has been added to the ordering system to assist those sites that create 'on-line' orders manually so that they can add parts to a daily (urgent) order or to a stock (not urgent) order to save a bit extra on buy price. The new feature will allow users to add an Order Type code to each line on a supplier's order. The codes will display at the end of the line in F2, 3, 1 and can be changed or modified by highlighting a line and pressing enter. Also, if the order notes during invoicing has been senabled, users get the chance to add the order type at the time of producing a customer on-order invoice. The new report allows users to search all of the 'extra information' that can be stored for part numbers in the display screen. You enter a search text string and the program will present a display list of every part that has a match for the search text in the stored info. You can enter on line one to print the list, or enter on a part number to display the extra information help for that part number. See F2, 2, M. 20-07-11 Workshop:- New feature. A 'Progress Payment Invoice' facility has been added to the Workshop system. This feature allows users to create Progress Payment Invoices that can be sent to clients when requesting a progress payment. This is different to the current deposit system which allocates money against a job. This new system will create miscellaneous invoices and charge them directly to the customer's account. It will display the total asked for as progress payment on the job, and also deduct that amount from the final amount due on an invoice. The progress invoices are expected to be paid and money allocated against them. See the how to "Workshop - progress payment invoices" for more details. 18-07-11 Spares:- Harley. New feature. The Harley PAM stock sending program, that sends a list of your Harley stock to the PAM dealer, site has been modified so that it can run as part of the backup. This means that the Dealer stock list will be updated every time a backup is done, eliminating the need to remember to do it before Harley penalises you. Contact Dealquip Computers for help in setting it up. Its easy. 05-07-11 Workshop:- New Feature. A new menu has been added to include all the 'Dealer Specific' reports and utilities that so many of the distributors are asking for. The first is a utility to create the 'BMW Motorrad Service Customer Satisfaction Survey' info file. It will create a CSV (comma delimited) file and transfer it to you computer. The file will be called 'BMWMRAD.CSV'. You can rename or save it to any name BMW require, and send it however they want it sent. See F3, 8, 1. 22-06-11 Wages:- The new tax scales for payroll in 2011-2012 have been programmed. These new scales will automatically come into effect after the 01-07-2011. They include the temporary flood/disaster levy. There is a field in employee setup that can be answered 'Y' if any employee has completed an application for flood levy exemption form. 09-06-11 Harley:- A new report has been added that will produce a list of HDI obsolete parts stock. It also produces a spreadsheet that contains a breakdown of all HDI parts that are obsolete and presents the value by product code, and all HDI parts at average cost. This report will satisfy both the obsolete stock value by product group, and the total stock value by product group that Harley are wanting dealers to report. See F2, 5, U, 1. Please note: This program can be inserted into the daily backup routine so that every time a backup is run, a copy of the spreadsheet is saved for future reference. 06-06-11 End Year:- Instructions for ending the Financial Year in PDF format have been added to the How-Tos. See How-Tos, Year end Instructions. Note they are last on the list. 01-06-11 Customers:- New feature. The license number field has been reinstated into customers. See F2, 9, 4 for the utility to change wording. 24-05-11 Workshop:- Job Types. The number of job types available to be setup has been increased from 10 to 20. This will allow for a greater distinction in what types of jobs are being done in the workshop. Any report or search that allows for selecting a job type has also had their capacity increased to allow for the larger number of Job Types now available. See F3, 1, 9 to set up job types. 23-05-11 Spares:- Harley. Added the manufacturer's product code to the masterfile and into the detailed invoice spreadsheet report (F2, 1, H). Harley dealers can now report on what parts were sold to each department, and the breakup of the product codes (as in type M, B, P, X etc...). Other reports can be modified as requested. 16-05-11 Spares: On-Order Invoices. A new utility has been added to enable/disable a warning box that will display on the invoicing screen at the time a part number is added AND needs to be ordered for a customer. The warning simply displays to let the user know visually that there is insufficient stock of a part to fill the invoice. See F8, E, 2, M to run the setup utility. 09-05-11 Sales Invoicing:- New Feature. A message facility has been added to the Sales Invoice printout. For sites that do not use the 'Bank Details' printed section, they can now utilise this space by adding a message to the invoice. There has been two extra lines added to the customer's Postal Street Address. This will help accommodate overseas and country addresses that can have more than a single street designation. E.g. Budgy Farm, Magpieville, 2345 can now be; Budgy Farm, via the Big Dipper, Through the Tunnel, Magpieville, 2345. Also the psotcode has been extended from 5 to 10 characters long to account for overseas countries. Gradually, this feature will be added into programs where the address is important such as invoice headings, statement headings, etc. 04-05-11 Spares:- Printing Invoices/Quotes. There is a new utility to allow users to alter the default amount that the retail price will be inflated when printed on an invoice or quote IF the sell price has been increased. Currently, if a price is increased by a surcharge or manually the system will recalculate the retail printed price and then add 10% to make it look like the price you are charging is actually a discount off the pretend retail. The new utility allows you to modify the 10% to any number, even zero if you only want it to print the new recalculated retail based on your new sell price. See F8, E, 2, L 19-04-11 Spares:- Ordering. A new feature has been added to the 'Adjust Orders' program. Users can now tick/untick a line or lines on an order to 'Bulk Delete' those lines. once all lines to be deleted are ticked use the menu option to delete all ticked. All normal rules for deleting apply and warnings are displayed if a line cannot be deleted. 18-04-11 Spares:- Harley ordering. The facility to create the 'PAM' ordering upload file has been added into the print & reprint Spares ordering system. Harley dealers will need to setup the second line of the comments in supplier file maintenance with their four digit dealer code follwed by an apostrophe (') to enable the system. They must also create a folder on the C drive of each terminal that might print and send the Harley orders called C:\HDI. This is the folder that the upload file will be saved into by ASSET. The only proviso is that Harley will only accept Part Numbers exactly as they appear in their price files. All dots, dashes etc must be in place. 14-04-11 Workshop:- New utility to set the default switch for displaying customer comments during invoicing. If a customer has any notes/comments saved on their account the system will now offer the chance to view these notes when invoicing a job. This new utility allows users to set the default switch to 'Y' display notes, or 'N' do not display notes. The option will still display and can be changed at the time this just sets the position of the highlight in the option list. See F8,E,3,9. 08-04-11 E-Shop:- Spares. Each category in spares can now have an individually assigned discount value. This makes it possible to give every part with a category a discount based on the category it is in. Will make 'Specials' or 'Bargain Box' possible. 06-04-11 E-Shop:- Sales. A new feature has been added to machinery sales. There is now the ability to allocate up to 15 E-Shop categories to each sales stock unit. These categories will be used in the export file for uploading machines to an E-Shop on the web. (or you could use it internally to add more categories to sales units). Press 'E' to get into the category selection page from the F4 screen. It displays at the top right of the F4 screen. If a unit has E-Shop categories a second line displays under the "E -..." line stating that E-Shop categories exist for this Sales Unit. 06-04-11 E-Shop:- Sales. A new program to create and maintain a list of categories for Sales units has been added. See TAB, D, C, 6. The export program to create the upload file for E-Shops is also here. See TAB, D, C, 7. When this is run it asks for the 'Meta Keywords' you wish to use. The 'Meta Keywords' are words or phrases used by internet search engines to find any pages with matching information. Set this up with your business name, and what it is you sell or do (e.g. new & used motorcycles, spares & accessories, etc.). 22-03-11 Workshop:- New jobs. A small change has been made to the create new jobs program. As well as picking up the serial number, model and make from previous jobs, the rego number has been added to the list. When a job is created and the details are selected from the customer list, rego will also be transferred, saving time and errors. To update the data so that the rego numbers are available, users will have to run the search update utility. See F10, 8, A. Every W/S invoice done will now record these details for future reference. 10-03-11 End of Month:- New Feature. There is now a utility that will allow users to enable or disable the printing of ALL End of Month reports. If you do not need or want to have hard copies of the End of Month reports this switch can turn off all printing. Note that the printed statements will not print but the e-mailed and faxed statements will still be sent at the time the EOM is run. See TAB, 4, 5. 04-03-11 Workshop:- Pre-Booked Jobs. There is now a utility that can enable a reminder message that will 'pop up' every day at a set time to remind staff to run the 'Pre-Booked' jobs report. This report checks to see if any jobs have been booked in to START the following day. Any that come up on the report can be sent an SMS text message to remind the customer of their service appointment tomorrow. See F8, E, 3, 5 for the setup program. See F8, E, 3, 6 for the report. 04-03-11 Workshop:- Thank you text messages. There is now a utility that will enable a reminder message to 'pop up' on user screens reminding them to run the Workshop invoice thankyou report. This report can list all invoices from a date to a date and send thankyou SMS messages to customers for getting their service done with us. See F8, E, 3, 7 for the setup utility. See F8, E, 3, 8 for the report. 04-03-11 Sales:- Thank you text messages. There is now a utility that will enable a reminder message to 'pop up' on user screens reminding them to run the Sales invoice thankyou report. This report can list all invoices from a date to a date and send thankyou SMS messages to customers for purchasing our products. See F8, E, 4, 6 for the setup utility. See F8, E, 4, 7 for the report. ###02-03-11 Sales:- Police Book. Those sites that use the Police Book in ASSET have to make a ### small edit to their CONTROL.SALES file. There is now the need to have an ### odometer reading when a unit is sold. This is being placed after the Form Serial ### number and must be filled out along with the form 3 number when a unit is sold. ### The Report will print this value at the end as the last column. ### Ring Dealquip for assistance if you have to edit this file. See the How-To 'Police book - ". 17-02-11 Workshop:- Bundy Clock. Some small changes to the Bundy Clock time logging system have been made. All times worked by mechanics are now recorded in the time worked data file. As well, if a time is logged for any other activity (cleaning, deliver meals, etc.) the mechanic is given a choice box to allow the recording of this 'OTHER' time as accrued hours worked or not (i.e. time off). These figures will be used on the labour reports to give a better picture of total time worked. 15-02-11 Banking:- Receipts. A new feature has been added to the banking of money to an account (F10,1,1). Before the system asks if you want to print a receipt (where it saves the receipt anyway for later printing) a choice box appears with options to record the reason for the payment. Typical answers are Normal account payment, deposits, and a 'manual' entry so users can type in some other reason. This will help those people doing banking who do not enter the original payment. 07-02-11 Spares:- Suzuki On-line ordering. The Suzuki file format for e-mailing orders to Suzuki has been finalised. The testing with Suzuki Oz has worked. Even if your part numbers are 'trimmed' of dashes etc. the program puts these back into part numbers before creating the file to send to Suzuki. The only proviso is that users have the latest version of the Suzuki masterfile installed on their system so that the correct formatting of parts can be determined. 03-02-11 E-Shop:- New utilities added. Up to 30 supplier codes can be registered to be included in the newly created file to upload your E-Shop parts data. See TAB, D, C, 4. New utility to create a file specifically for the E-Shop internet online shop. It creates a CSV file with part information that can be saved as a spreadsheet, and uploaded to the web. See TAB, D, C, 5. 02-02-11 Spares & Sales:- A new feature has been added to Spares invoicing whereby a default discount can be setup for every Sales Unit. If enabled, this will allow Spares to sell to Sales Units with a fixed markup if the unit does not already have a discount applied to it manually. To enable this feature the Sales Control File must be edited and the discount entered in the correct position. Ring Dealquip and quote CONTROL.SALES line 1 position 70, and we will walk you through the edit. 18-01-11 Workshop Jobs:- New feature. Added the ability to print the list of parts sold to a workshop job. In 'Pricing' select the Parts. The last line is 'Enter HERE to print list'. Sends the list to the print driver for printing and spreadsheet export. 13-01-11 Direct Deposits:- New Feature. ASSET can now prepare a file that can be imported into 'most' online banking programs so that all payments done as direct deposits in the system can be imported into the online banking for sending to the bank. This means that wages, creditors etc that can often have multiple payments to various people or suppliers can be done and the file sent straight to your computer and imported into your online banking. No more single entries by hand after your process them in ASSET. See INS, 4, 9 to setup your bank initials. See the how-to on using the file 'Direct Deposits' 13-01-11 Spares:- E-Shop Categories. A new utility has been added that allows users to enter a supplier code and either All or only Stocked part numbers. A list of parts that DO NOT have an E-Shop Category is displayed. Each part can then be selected and a category chosen from the full list of your current categories. See TAB, D, E. 13-01-11 Workshop:- New feature. Users can now modify the look of Workshop Invoices slightly. The changes are cosmetic and include not printing the price breakup, font changes in some areas & changes to the heading section. To enable these changes you need to edit the CONTROL.MEDATA file. Best to ring Dealquip for guidance. Line 6,67.N 11-01-11 Workshop:- New utility that will set a password for the Bundy Clock time logging facility. This password (if enabled) will be required if the time entered by a mechanic is different to the current time in the computer. This is so that logging on/off is done when required, and not all at once at some later time. See F3, 2, 8. 11-01-11 Workshop:- Change to program. The Workshop Bundy time logger will now record times for sold sales stock units and place the labour onto the unit. It will also correctly allocate sales unit times as internal on the labour reconciliation report. 13-12-10 Workshop:- New utility that will enable/disable the word 'REGO' printing on workshop job invoices. Some sites do not use this field and find it confusing for customers that see it on invoices. See F3, 1, B. 13-12-10 Spares:- BMW support has been added to create files for uploading orders via the internet and uploading obsolete stock lists via the internet. See F2, 7, E, A for obsolete stock creation tool. 09-12-10 A/P: New Report. A report (in spreadsheet form only) has been developed that will list every supplier code and virtually all the information about each supplier. See INS, 5, E. 07-12-10 Spares:- New feature. A new classification system has been introduced into ASSET Spares. In keeping with some sites wanting to put their parts onto the Internet in E-shops, A web category system has been devised. This system is based on a set of pre-defined categories that can be included into on-line shops to greatly improve the searchability of parts. Two utilities have been added. One allows users create and modify the categories (TAB, D, C). The other allows users to begin adding categories to parts based on the part number or description (TAB, D, D). 07-12-10 Spares:- New feature. An extra classification system has been introduced to match some suppliers wanting to code part numbers according to their (the supplier) internal classification system (e.g. Harley). The new system is called the Manufacturer's product group and is in Spare's file maintenance. It will also be included in upcoming masterfile releases for suppliers that can provide the information with their parts price files. Gradually, searches in ASSET will include this field as well. 02-12-10 Messages:- New utility. Some sites have found that if the user message screens are left open when the system reboots they are losing essential messages before acting on them. Now ASSET will save the previous 100 version of each users messages, just in case. These saved message files can be viewed or printed using the new utility in F8, 8. 26-11-10 Workshop:- Bundy Clock System. The time logging system has been modified. From now on, if the work is done on a current W.I.P job or a current Sales Stock Unit, the system will present an option for the mechanic to allocate their time directly to the job or stock code. A question will display asking if they wish to add the time to the job/stock. It allows for several sessions of work on the same job over a day. It also now records the allocated time (which can be different to the time worked) and will print this in the WS Bundy report (F3, 2, 6). E.g. They might work ten minutes on a job but want to book 0.5 hours directly. This is now possible. 22-11-10 Auto Responder:- New utility to Add new massages, or Modify/Delete existing messages from the customer auto responder system. See F2, 3, I, 2 18-11-10 Spares:- New utility. Dead Stock from anytime. A new report utility allows users to enter an age (in years) for how long a part has been stocked, and a time (in years) since the part was last sold, to produce a Dead Stock Report. E.g. If you wanted a list of all parts on hand that have been stocked for at least 4 years, and that have not sold in the past 2 years, this utility can do it. The dates are based on when parts were first ordered in the system. Sites who simply add parts by file manipulation will not have much order data to search through. See F2, 7, E, 9. 17-11-10 Spares:- Parts transfer. The utility that transfers part number from one supplier code to another has been updated. Now, if a bin location exists in the old part, the bin location is either transfer to the new part if it does not have a bin location, or it is added to the 'extra information - F2' section of the parts display screen. 12-11-10 ASSET:- Time/Date. There is now an extra safety feature to stop accidental time/date changes. Before you proceed you must press the - key combination. See Tab, 1. 05-11-10 Spares:- Invoicing/ordering. A new feature has been introduced that allows users to add 'on-order' parts on an invoice to be placed on the last printed order for a supplier, rather than the next un-printed daily order. This may be handy for those sites that occasionally have to quote order numbers to suppliers before they can actually order the parts through ASSET. E.g. a part for a job needs ordering but the job card has not yet been created. This system will allow you to quote an order number to the supplier and then place the items off an invoice later when the job is ready. See F8, E, 2, K to enable the system. A question appears asking if next (normal) or last daily order to be used. 25-10-10 Spares:- Invoicing. Sites using the 'Goods Held In Store' facility will now see a feature appear at the end on Spares invoices if a customer has any goods held allowing for the items to be ticked and removed from the held in store data file. This will save having to go into a different menu and removed items manually. Simply tick/untick items on the list that displays. Any ticked items will be removed from the held data and be assumed by the system to have been collected by the customer. 22-09-10 Workshop:- Labour Printing. A new utility is now available to enable or disable the printing of the detailed labour breakup on the second page of workshop job invoices and reports. If the printing is disabled, no labour entries will be printed. The labour total amount on the bottom of the first page will still print either way. See F8, E, 3, 4 for the utility. 22-09-10 Wages:- Printout. The printout to Gutenberg printers has been made larger and turned onto a landscape layout. This should make it easier to read. 22-09-10 Wages:- New feature. There is now the ability to set default values for each employee for:- time, time and half, double time, special pay, special tax and meal allowance. This should make it a bit easier for to handle those employees that are on salary or who have additional tax etc every week. The default values are setup in F11, 1, payroll records. The red screen where HELP scheme and Medicare Variation question are, has been expanded to include the default values. 22-09-10 Wages:- Other little known feature. If you need to change the normal time hourly rate of pay occasionally without setting it permanently in setup employee, you can type the number of normal time hours then press F1 when entering wages. This will take you to the single time pay rate where you can change the value for that entry only. 15-09-10 Sublets:- Extra enhancements. The number of lines that can be entered for the description has been increased from 2 to 10. When entering the description you see a message to press Shift-F10 to access the extra lines. The extra lines will print on the printout and will display in view screens in sublets W/S and Sales. Only the first two lines (as was the case) display in the sublet ordering screen. 26-08-10 Sublets:- New feature and utility. Users can now add a message that will print as a footer on their sublet order prints. The message can be up to 10 lines long. See F3, 6, 8 to add or edit the message. 16-08-10 Workshop:- Jobs. Additional feature. The Sublets display in the Jobs pricing screen has added features. At the top in the description line it now displays the number of sublets, the current sell price and the current costed price. Also the last line in the list of sublets allows users to print the list to the normal print driver, including exporting to a spreadsheet. 16-08-10 Purchases:- Direct Deposits. When direct deposits are prepared and printed the system will now ask users if they wish to post the direct deposits straight away. This should help eliminate the problem of deposits being over-written by preparing a new batch before the last ones were posted. 16-08-10 Advance menu (scrolling menu):- THEOS has updated the programming language used to create ASSET. A change has been made to the scrolling menu to automatically update any necessary files from THEOS to make the programs work. 28-07-10 HowTo:- New HowTo explaining how to add a rebate from a supplier onto a Sales Stock unit if you are not using the creditor's and banking systems. A search and report utility has been created to find a given text string in all of the banking reports that are saved every time you 'TOT' or print the banking. The text can be anything (up to 10 characters) such as a value e.g. 1023.45, a customer e.g. BLO012, a name e.g. ANTONIO, etc. See F10, 1, 9. This will be handy for times when you need to find when anything might have occurred in the banking. 05-05-10 Workshop:- Labour. New report that lists labour included on jobs that were invoiced within a certain time frame. The report can list from a start to an end date. It can list all jobs or only a certain job type. It includes the hours worked as well as the hours booked to the jobs. See F3, 3, E. 05-05-10 Spares:- Ordering. Changed report. The report listing the value of parts orders received in a given time frame has had an additional feature added. You can now specify that only supplier totals be printed. The full report (every part received) still exists and it will include the supplier breakup at the bottom, or just the supplier breakup is available. See F2, 3, F. 03-05-10 Workshop:- Times worked. A new feature has been added to the labour section of workshop. Users can now enter the hours 'worked' on each job by a mechanic as well as the hours booked to that job. E.g. a mechanic might work for 4 hours on a job that you can only charge 1.5 hours labour to. You can now record the fact that they actually worked 4 hours, on that day, on that job. There is a report F3, 2, 7 that can print a report of the hours worked. This feature has been added into the labour reconciliation reports etc. It can be used as part of a calculation for efficiency, proficiency and productivity. 29-04-10 Cheques:- Printing. A new utility has been developed to enable or disable the 'Print Driver' when printing cheques. Users can now elect to have cheques print to the cheque printer ONLY (the current default), or to send the output to the Print Driver device selection screen, or to display a choice box at the time of printing so that the decision can be made when the cheques are being processed. See , 3, 9 for the utility. 27-04-10 Spares Invoicing:- New feature. Similar to the feature in parts enquiry, there is now a system of displaying and adding to the 'parts suited to a model', and 'model suited by a part'. This system allows users to create lists of model numbers that a part is suited to, and/or create lists of part numbers that are suited to a particular model. When a part number is entered on an invoice the list of 'Options Available' is displayed. A further two options have been added. These are:- ShftF6=SuitModel ShftF8=ModelSuit. Pressing Shift-F6 displays a list of models that the current part number suits. Pressing Shift-F8 displays a list of parts that suit the model represented by the current part number. There is a How-To for the usage of the system in Parts Enquiry which will help with this system. See How-To: 'Spares - Part/Model Associations' 23-04-10 Customers:- New feature. When creating a customer or looking for an existing account you can now enter the Pick ID and ??? to search for a text string. For example if you have a lot of account IDs starting with SMI and you want to check if a customer is already setup, enter SMI??? at the Pick ID prompt and you are taken into the customer display program. Enter on the ID as SMI??? and it will take you to the search section with the ID already there. Just type in something to search for like their name or number or suburb and a list of matches will display. If they are already there pick them off the list, if not then create them by selected 'Next Account' in customer setup. 23-04-10 General Ledger:- The new General ledger has now been installed. Those sites using the general ledger and financial reporting will find the new system far easier to use and the reports much easier to read and understand. You should follow the instructions outlined in the How-to 'General Ledger - New General Ledger System". A full set of instructions and examples is included. Set up your G/L and then start using the enhanced features. Any data or features contained in the existing G/L remain the same. Everything you used to be able to do with the G/L is still available. All the new features are additions to what has always been there. Any problems please call Dealquip. 22-04-10 Workshop Messages:- The facility for sending messages to customers from within a Workshop Job has been extended. The messages are recorded and they can now be listed on the screen detailing when, how and what was sent to customers. See Tag finished/send SMS for the added option. 15-04-10 Reward Scheme:- New feature. There is now a utility to add Reward Scheme points manually to a customer's account tally. The utility has an accompanying setup program where you can set the maximum points that can be added at any one time, and the maximum allowable manually added points ever. Also the system is passworded once enabled. See F2, 8, F, 2 to setup, and F2, 8, F, 3 to add manual points. Manually added points might be accrued by attending ride days or demos etc. as opposed to accruing by purchasing goods. 12-04-10 Marketing:- New utility. A new utility has been introduced for sites that might be into marketing. The utility is similar to the ASSET Customer Database except that it only keeps the basic marketing fields like address, phone, fax etc. It can import list of data from spreadsheets compiled elsewhere (such as those purchased from marketing companies), or you can add entries yourself. It can incorporate the ASSET Customer Database in its searches and exports the results to a spreadsheet for use in mailouts and other marketing campaigns. See K from the ASSET menu. There is a full PDF How-To on the use of this utility. 01-04-10 Banking:- New utility. There is now a reporting facility that can produce a list of all Cashdraw entries deleted using the cashdraw delete feature. These items were saved but now with this report, users can see what has been done to the cashdraw. Every deletion from now will also have the date it was deleted recorded for reporting purposes. See F10, 3, A. 25-03-10 Suppliers:- Added feature. Suppliers cheque history (F6 from supplier screen) can now be printed or exported to a spreadsheet. Scroll to the bottom of the list (or press ) and enter on the print line. 25-03-10 HowTos:- New Feature. The How-To list has been growing longer. There is now a new feature where many of the How-Tos are now being placed on ASSET in a PDF format. This means that you will need Adobe Reader to view the How-To, and you will have to be on a terminal that supports MS Windows. If you see the letters 'PDF' in the How-To description (as in '' ''PDF New General Ledger System) the How-To can be viewed in full colour with images and screen shots using a PDF reader program. This allows for a much more descriptive instruction manual with photos, inclusions and screen shots to be created and displayed, making understanding much easier for users. 19-03-10 Spares:- Partmart. The utility to create the upload file to send to Partmart has been enhanced. It now saves the supplier IDs and Names so that the next time it will recall your last supplier listing. It also now can include up to 20 supplier codes from ASSET. This file can then be sent directly to Partmart to advertise your stock. See F2, 7, E, 8. Contact Partmart via 'Dan Swan pm@partmart.com'. 18-03-10 Customers:- Mobile Phones. A new utility to read through the customer file and try to update mobile phone numbers from the phone and business phone field. In the past the mobile phone field used to hold the 'tax number' which is no longer needed. This utility will find mobile numbers and if the 'mobile' field does not have it in there the utility will write it in. See F10, 8, L. 10-03-10 Spares:- Reporting. A new report utility has been created that allows users to print a summarised or very detailed report listing one or all part numbers from a single supplier code showing:- sales, credits, manipulations, ordered, received, yet to be paid for, total sales per department costs and profits. The report can be from a start date to an end date and is very comprehensive. Only part numbers with any activity between the start and end date are reported on. See F2, 5, S. 04-03-10 Backup:- New feature. A utility to enable or disable the printing of customer's orders not received yet for more than 3 days. This is the same utility as F2, 8, B but it will run automatically as part of the backup routine. See TAB, 3, 4. 26-02-10 Spares:- Invoicing. New Feature. There is now a utility to setup the five line messages that print on invoices for every individual customer. Users might need to modify the terms or wording of the 'standard' message for certain customers. This utility now allows you to do this. See F2, 1, L or F8, E, 2, J or 'other options' in customer display. 18-02-10 Spares:- Ordering. New feature. A user message can now be placed at the bottom of spare parts orders. A 5 line message can say whatever users require. See F2, 3, J or F8, E, 2, I 18-02-10 Payroll:- Added feature. When entering the wages for employees, their currently set up additions/Deductions are displayed. The system will stop at this point and users have the opportunity to change the value of any Add/Ded by pressing SHIFT F10. The values are changed permanently (until next time). This is as a reminder and to stop having to get out of wages and go into setup employees to change a single value. Only existing set up values can be changed. To add new entries, users must still go through the setup employees program. 13-12-09 Spares:- Auto Order Responder. The system will no longer stop and ask if you wish to save the auto response message for internal customers (Sales, W/Shop, Rental). 01-12-09 Customer Rewards:- New feature added to the customer reward scheme where individual customer IDs can be setup to have 'non standard' reward points. A multiplying factor has been introduced so that a customer can be specially setup to receive double, triple, half, etc. the standard number of points. 01-12-09 Spares:- Auto responder will now not try to send a message when the customer is an internal code (sales, rental or workshop) 01-12-09 Workshop:- The message sending system has had an option list applied to it so that the Finished status can change without sending a message or a message can be sent without changing the finished status. 27-11-09 Workshop:- Bundy system update. The bundy time logger now has a special category called 'Snnnnn SOLD STOCK'. If this is selected, the mechanic can put in ANY Stock code (sold or stock) and record their time. Also if a new log on time is entered, and there was a previous job not logged OFF, the system will automatically add a LOGOFF entry for the last job using the time for the new log on. 26-11-09 Payroll:- New feature. In Employee setup, there is now an option to keep notes for each employee in the system. The notes are encrypted when they are saved so that only by using the program can they be read or edited. If you have passworded your payroll system, the notes and data are safe. See F11, 1, option L 19-11-09 Vendors:- New report: As of now, every time a new supplier(vendor) code is created the date created is recorded in ASSET. There is a report that can list those supplier codes that were created between a start and an end date, that had their dates recorded in the system. See INS, 5, C. 18-11-09 Workshop:- New Feature. A 'Bundy' time logging utility for the workshop has been implemented. The system allows mechanics to quickly log ON or OFF a job, stock code or task, so that their time usage can be reported. Many sites are looking at ways of recording unused time and time spent on 'unchargeable' tasks. This utility will allow mechanics to log when they started and stopped working on jobs and provide a quick report on time usage. Press Shift-F10 from ASSET menu or click the centre box on the menu with the mouse or see F3, 2, 5. and F3, 2, 6 for the report. 16-11-09 Spares:- New utility. A new utility has been added to the Spares menu that will allow users to recover the part's descriptions for a supplier code from a previously saved (backed-up) file, and write the old descriptions over the top of the current description of parts sor a supplier code. This can be used if major chanegs were done during a masterfile upgrade or similar. Only files that can be recovered from a recent backup can be used. One supplier at a time is affected. See F2, 7, M. 13-11-09 GST:- Pay the ATO. The payment program has been modified so that only the last periods used to do a TRIAL run will be allowed to be used to do the FINAL run. It was found that users were trialling one range of periods and then finalising a different set of periods. The range should always be the same as those used when doing the report beforehand. 13-11-09 Customers:- Added feature. If a customer code is setup to supercede to a different or newer code (see entry from 17-07-09) ASSET will now display the customer ID that it supercedes from, and allow users to 'jump' back to the older code by entering the '<' (less than) symbol. This is very handy when looking back at older history. 13-11-09 Suppliers:- Added feature. If a supplier code is setup to supercede to a different or newer code (see entry from 16-07-09) ASSET will now display the supplier ID that it supercedes from, and allow users to 'jump' back to the older code by entering the '<' (less than) symbol OR clicking on it with the mouse. This is very handy when looking back at older history. 11-11-09 Spares:- New feature. When printing invoices and quotes there is now three extra print options to choose from. These are the same 'invoice only', 'picking slip only' 'invoice and picking slip' printouts EXCEPT they offer the chance to BLANK OUT the first three letters of the parts number. E.G. a part "ABCDE3456" would print as " DE3456". This is in response to requests to not show the full true part number to 'some' customers. See the normal invoice print and the options are at the bottom. Please note that the option says Print ### Part Numbers. The ### means three spaces then the rest of the part number. 10-11-09 Sales:- Deposits. It has been noted that, sometimes when a unit is sold that had a deposit on it, the deposit reference is not being cleared from the stock display screen, confusing the issue. There is now a utility that will search the Stock data and the Deposit data and remove any incorrect references. See F4, 1, H 21-10-09 Spares:- New utility. There is now a utility to update the monthly sales figures that are kept in stock enquiry for the rolling 12 month history. See F2, 2, J 21-10-09 Workshop:- Message responder. The same auto message responder system that was introduced into Spare's customer orders has been included in workshop jobs. If the system is enabled (F8, E, 3, 3) you can send a message to the owner of a job from within the system. To send a message simply 'Tick' the job as completed or not, and you will be asked if you wish to send a message. When a job is created you get the chance to record the customers desired method of contact and their contact details. Messages include faxing, e-mailing and SMS texts (if available). See the how-to 'Spares - Auto Order Responder' as the setup is very similar. 19-10-09 Spares:- Sales History in invoicing (shift-F1) and parts display (?) now lists in date order from most recent to oldest. 19-10-09 Spares:- Masterfiles. Added feature to the 'Update Master to Stock' utility. It now askes whether to change the current descriptions, or leave them as is. This is because some users are modifying their descriptions with special characters or sizes/colours etc. and each time an update is done they loose their personalised versions of descriptions. By default the answer is Y to modify descriptions. You will need to answer N to 'N'ot change the descriptions if you wish to keep your current descriptions as they are. 09-10-09 Spares:- Auto-Responder. The auto-response system has been incorporated into the Customer Backorder Pickups. If a customer had indicated they wanted to be informed when their parts were ready, AND, sites are using the pickup orders to see if all/some parts have arrived, users can now send a message to the customer from within the pickup orders program. ONLY after using F1 to view the order, and ONLY if the invoice was setup for auto-responder at the time of ordering will the system ask if you wish to send a message or not. 06-10-09 Spares:- New report. A new report has been devised to print 'count sheets' from the Spares department. The sheets will list the total of every occurrence of a part number including: in stock, in picking, in customer orders, on salespersons, in the goods in store system and on layby. They are designed for sites that want to be able to account for every part on the premises. Users can now have a full list of parts and the quantities that should be somewhere within the shop. See F2, 2, I. 01-10-09 Spares:- Ordering. The customer auto-responder system in now fully functional. When enabled, if a customer orders a part, the system will record how to send a message to the customer (sms, fax, email, phone) and their details. When you are receiving the order it asks what message and if to send the response. A file of standard response messages has been created. This list can be expanded with up to 1000 pre-written messages to use. See F8, E, 2, 2 to enable the system. To use sms messages youneed to have an account with an email to sms conversion company and the email in ASSET must be setup and working. A change is required in the control file named CONTROL.SPDATA. Line 5, column 49 must be C. There is a how to 'Spares - Auto Order Responder' 23-09-09 THEOS:- Makeboot. There is now a menu entry in ASSET that will create an Emergency Boot CD (or disks) for your system. This should be done every time you get a THEOS (not ASSET) update, and if you have 'misplaced' or damaged the Emergency Boot CD supplied when the Corona update was done. Have a blank CD ready and use F8, 3, D. 21-09-09 G/L:- Audit Report. There is a new utility that can extract a single G/L code and the actual data file values from every audit reports that has been saved for up to five years back and list/print every value recorded between then and now. The list can be sent to any printer or to a spreadsheet for further analysis. While in the list, highlighting a line and pressing enter will display the full Audit/Charges report. See F1, 5, I. 18-09-09 Workshop:- Additional feature. In workshop job maintenance there is now the ability record additional notes. The notes are for the benefit of users and not customers. They are so that as many notes and records regarding a job can be kept. The size available for notes is virtually unlimited, so as much note taking and record keeping as necessary is available. See the 'Additional Notes' option at the bottom of the choices menu when in a job. If notes do exist for a job there will be a warning displayed in the warning area on the centre right of the screen. 18-09-09 Spares Invoicing:- New feature. There is now a feature in invoicing that allows users to enter freight inwards (cost to get the part) and the freight outwards (cost to send the part). If the new feature is enabled via the setup program in F8, E, 2, H you can setup a default value for freight that users have to modify. Once enabled a window appears at the freight field and you can then add freight in and out. Once the freight has been added the system combines both into the freight field. It also creates the second line of comments explaining the freight. Note:- The first time the updated program is used it will expand one data file. Be patient it will only take a moment. 08-09-09 Spares Customers:- Reward Scheme. A new feature has been added to Spares invoicing. If the customer reward scheme is active, an extra option appears at the end of invoicing allowing users to modify the number of point an invoice will gain by using a multiplying value. Users can double, triple or halve the total points. Any value from 0 to 5 is possible. 04-09-09 Customer:- New Utility. There is a new utility that will search through transaction files from spares, sales and workshop and collect information from any customer ID that has used these services over a given number of years, and produce a spreadsheet with names and numbers that can be used for marketing and mail merges. See F10, 7, N. 04-09-09 Customer:- Mailer. There is a new utility to completely erase EVERY Machine Mailer field in EVERY customer ID. Use this utility if you are going to start using the mailer code field and you want to remove all the old 'stuff' before beginning. See F8,E,6,6. There are other utilities to help add mailer codes to customers based on the purchases they have made. 03-09-09 Workshop:- New Feature. There is now a 'Tag ID' field in workshop jobs. This is a user field that can be any identifier that the workshop want to use it for. One site has pre-printed plastic 'cattle tags' that they attach to each unit when it enters the workshop. This tag number can now be entered on to the job so that tracking of units is easier. Other uses could be for what mechanic group is doing the service, what location, what mobile unit etc. The tag ID is included in job searches, and can be entered when creating a job or modified later. 17-08-09 Sales/Floorplan:- Added Feature. The report 'Bailment Print sold stock due for paym' {INS, 5, 7} has had the export to spreadsheet feature added and much more info transferred into the spreadsheet. Extra info includes date sold, invoice number sold, floorplan number, sale total, GST, etc. 17-08-09 Backup:- New Utility. There is now a utility which will allow users to select which reports will print after the daily backup. If an entry on the list is ticked that report will not be printed during the daily backup. Any reports that would normally be saved are still saved for re-printing. See TAB, 3, 3. Note:- If other reports are generated automatically, please let Kev Day know so they can be added into the selection list. 13-08-09 Sales:- New utility. There is now a utility that can prevent all unpaid stock codes from printing after the charges report. For those sites not using the Accounts Payable module in ASSET, there may be a long list of Sales Stock codes printing after the charges report. This is a reminder to users that these units are not yet paid for. See F4, 4, C. 13-08-09 Accounts:- New feature. There is now a switch setting that will allow users to set a fixed percentage for the maximum allowable variation from the cost price calculated value of a Spares order when passing for payment. If the entered value exceeds this percantage (+ or -) then a warning is displayed and a password is required to proceed. This is to stop some users who do not check and correct the purchase price on parts and then change the final invoice total when passing for payment. The percent can be anything reasonable to allow for rounding and the like e.g. 5%. See INS, 6, 3 or F8, E, 2, G. 27-07-09 Parts:- New feature. Class Codes: Many suppliers provide masterfiles with information relating to their internal 'Class' codes. This information is one further method of classifying or differentiating one part from another. While ASSET has long had group codes, comments and notes, there is now the facility to use manufacturer's class codes or to build up a list of your own. Each supplier can have their own list of class codes that might be common accross suppliers or different. ASSET update will now include a list of all known manufacturer class codes that will automatically be updated and included into the parts system when masterfiles are processed. See F2, 7, L or Parts File Maintenance. Several reports have the class code included, others will be programmed as required/suggested by users. 21-07-09 Parts:- New utility. A utility has been created to produce an upload file from your parts files that is in the correct format to send to PartMart, the online parts selling website. See F2, 7, E, 8. There is also a How-To see Spares - Partmart creating files. 17-07-09 Customers:- New feature. There is now a field in the Customer File Maintenance screen to enter the code of an alternate (or superceding) customer ID. This is for the times when a customer ID has changed or there is a newer ID. For example if a customer used to be called Smiths Auto Electrics (SMI004) have changed their name to Auburn Vehicle Service (AUB001). By entering AUB001 into the Supercede customer ID field of SMI004, the system will remind users that a newer ID is applicable for this customer. See Customer (F7), F1 Adjust, A to alter, field (35) on the list of fields that can be altered. 16-07-09 Suppliers:- New feature. There is now a field in the Supplier File Maintenance screen to enter the code of an alternate (or superceding) supplier ID. This is for the times when a supplier ID has changed or there is a newer ID. For example if all insurance was with GIO until it was taken over by MLC. So now all things that would have gone to GIO should be coded to MLC. If this field is used, and the old supplier (GIO) is entered, the system will remind users that a newer ID is available. See Supplier (F5), field (25). 16-07-09 Payroll:- New Feature. A facility has been added to allow for the Payroll system to have its own password security code in addition to or instead of the ASSET password security system. Users have asked for the ability to have passwords for Payroll while not enabling the passwords for other areas. Now this is possible. See F11, F. Once enabled the password must be entered to gain access to any of the Payroll programs. It will also be in addition to any other passwords active. 13-07-09 Customers:- A new utility to print a Summary or Detailed Age Trial Balance report to the print driver, for printing to any printer. See F10, 7, M. 09-07-09 Suppliers:- Have added a field for 'Supplier's Website'. If there is an entry here, clicking on the field will open your internet browser program and try to display the website. Typically you would enter the full internet address such as:- www.dealquip.com.au 08-07-09 Spares:- Reports. A new report utility to create and maintain a manual reference listing of part numbers with bin locations. This reference can be printed and/or sent to a spreadsheet. The utility allows you to create a full list or to print an addendum of the latest changes. This report/spreadsheet could prove invaluable when the main server goes 'down' or there is a power failure, as staff will still be able to find parts in locations. See F2, 2, H. There is also a How-To:- see 'Spares - Manual Parts Location Report' 06-07-09 Spares:- Barcodes. A new utility to clean up the manufacturer's barcode reference file. This file is where the barcode numbers on items and the part number they refer to are kept. This file may be untidy from early entries that were not formatted correctly. See F2, 7, K. 06-07-09 Masterfiles:- Several masterfiles are now being processed to include both the trimmed (all dashes removed) and non-trimmed (as written on the price file) parts numbers. Currently KAW, YAM and SUZ are done. Others will be done as requested. 29-06-09 Spares:- Bin Locations. A new utility that allows users to clear the Bin Location of all part number that have zero on hand AND a minimum of Zero AND a maximum of zero. Can be run on a single supplier or all supplier codes with each new supplier having to be confirmed before the search runs through them. This utility can be shorten up the count sheets in Stock Take, but be warned. If a part's bin location is cleared, you will have to manually re-enter it if you deleted it incorrectly. See F2, 7, 2, 9. 16-06-09 Spares:- Ordering. A slight change to the 'Adjust Orders' screen. The total accumulated weight of an order is now calculated and displayed at the top of the screen next to the total order value. This figure is calculated from the 'weight' field in parts file maintenance. Most suppliers will not be interested in this, but for some it can be very important. E.g:- Dealquip imports rubber tracks and pads by the container load. If the container goes over the weight limit there are hefty excess charges. Now we can see what weight an order should be to keep under the critical limit. 11-06-09 Spares:- Order printing. The design of the order print-out has changed slightly. There is now the ability to print up to 30 line items per page (depending on your control setup). If you do not get the larger number of lines on a print or reprint, Phone Dealquip to check your setup. This change is an attempt to reduce paper use and confusion when larger orders are printed on many pages. 10-06-09 Payroll:- New Tax Rates. The PAYG & HELP & SFSS withholding tax rates will change in the new (2009-2010) financial year. ASSET now has the new rates installed and will automatically start using them on or after 01-07-2009. 09-06-09 Customers:- New Feature. Credit cards details can now be recorded against a customer's account. The details can be displayed by entering 'CC' or clicking the link in customer display. Entries can only be changed by going into customer maintenance and selecting 'A' to alter and then the last entry on the list. During a Spares invoice, if a customer has credit card details recorded, a warning window will open and count down for 5 seconds. If required, a second session can be opened and the details display for entering into an EFTPOS machine. If no details have been saved nothing will display when 'CC' is clicked/entered. Only 'C'ash type customer accounts will be warned, but any customer can have details recorded. The card number is encrypted and cannot be seen from outside. 03-06-09 Sales:- New Utility. When a Sales Stock Unit is invoiced, ASSET will normally change the credit limit on that Stock Number to ZERO in an attempt to stop any further on-costs being sold to the unit. There is now a utility to stop ASSET from changing the Credit Limit of a Sales Stock Unit during invoicing. See F8, E, 4, 5. 01-06-09 Spares:- Invoice printing. If a part has been sold off a wrecked unit by pressing F7 when the genuine part was entered, the original supplier/part number/description will print on the invoice, making it easier and clearer to read. 01-06-09 Sales:- New Report. A detailed order report as been added to Sales. The report will ask for a start & end Date (or all dates), a supplier code (or all suppliers) and either 'A'll, only 'F'inished, only 'U'nfinished orders. See F4, 4, B. 25-05-09 Spares:- Invoice Printing. A new option has been added to the printing list. When you print an invoice ASSET asks if you want to print invoice, invoice & packing slip, etc. There is now a fifth option 'Print BIN Location Order Picking Slip as well'. If this option is ticked, a 'Pickup sheet' of parts listed in alphabetical order BY BIN Location will also print. This could make it easier and quicker to collect items on larger invoices by printing the pickup in a logical order. 22-05-09 Customers:- New Feature. ASSET now has the ability to record when, what and who has created any new customer account IDs, and send a list of new IDs to an e-mail address. Typically this would be setup and used so that the new enhanced marketing facilities within ASSET can be used effectively. The e-mail address of the receiver of the list could be a manager or senior staff who could check to ensure that all the minimum required information is being collected when new accounts are created. See the setup utility F8, E, 6, 4. See the How-to 'Customer - Recording New Accounts' for detailed setup instructions. 22-05-09 Spares:- Ordering. Change to the way that items can be deleted off an order. If a part was ordered for a customer AND there is a deposit waiting on the invoice that part was ordered on, a warning window will open and only by pressing shift-F10 will the process continue. Users should be refunding any deposit before deleting ordered customer parts, otherwise the deposit can 'disappear' from the order pickup system. 21-05-09 Spares:- New Feature. ASSET now has a 'GOODS HELD IN-STORE' facility for keeping track of parts that have been sold, BUT NOT YET collected or delivered to the customer. This feature works in a similar way to the 'Picking System', except that it records sold and paid for items, not items picked aside for a customer and yet to be invoiced. The system needs to be activated F2, I, 3 before it will be visible and usable. There are utilities to report on items recorded, and to remove items when they are collected or shipped. Typically this system will help eliminate errors when some parts are ordered and others are sold and paid for. A warning will be displayed if a customer has items in the Goods held system. See the How-To: 'Spares - Goods Held In-Store' for full details. 20-05-09 Spares:- Invoicing. A slight change has been made to the way parts display on an invoice. From now on, the line numbers (at the beginning of each line on an invoice) will start counting from 1 (one) NOT zero. It has been confusing to some users starting at line zero and working up from there. This will give an easier view of just how many line items are on an invoice. 13-05-09 Workshop:- Invoice/Report Printing. A choice box will now pop up asking users if they want to print all pages in the invoice/report, or only the first page that contains the pricing etc. The default is to print all pages as was the case previously. 13-05-09 Workshop:- Registration recording. The rego field has been increased to 8 characters in length to accommodate watercraft (jet ski) requirements. 13-05-09 Workshop:- Reports. The 'Labour booked to jobs' (F3, 3, C) report has had the Job Type added to the criteria. Users may now do a report on labour added to only certain types of jobs, or all jobs. This may help those sites that require data for presentation to suppliers on different types of job classifications. 13-05-09 Mailers:- New feature. The program for using the machine mailer codes associated with customer IDs has been enhanced. This program now has the capacity to send e-mail messages with an attached file for marketing purposes. It can also produce a semicolon (;) delimited text file of matching e-mail addresses that users can cut and paste into the 'TO' section of your normal Windows e-mail program. If this feature is combined with other mailer enhancements, users will be able to increase their marketing and prospecting procedures. See F2, 7, 3. Please note that when sending e-mails directly from ASSET, each e-mail will take some time to send (milliseconds to a few seconds) depending on the size of any attachments. Do not worry if the program seems to stall momentarily during the sending of e-mails. To send a message AS the email (rather than as an attachment) user should consider making the file an .HTM document. Any pictures in the document can the be added as attachments to the email so that recipients can see the full message. talk to Kev Day for further explanation if required and a sample. 12-05-09 Spares:- Reports. New report that can search for negative stock quantities (less than zero on hand). Sounds unreal but the system can have negative on hand stock. It probably should not be able to but some circumstances dictate this be the case. This report will find these and list them for user to check. See F2, 5, R. 07-05-09 Spares:- Quotes. New feature when picking up a quote, users can now enter the quote number to pickup if known, instead of waiting for the full list to be displayed. Also, quotes will now bring over the name.street, city, order number, and comments into an invoice. 04-05-09 Debtors:- Mailer Codes. A new utility that allows users to search the history files for Sales & Workshop, or the Spares invoice files to add machine mailer codes onto a customer's account for use in the marketing/label program. Using Mailer Codes on customer's accounts allows for ASSET to search your entire customer database for similarly classified customers and create reports, lists, labels, letters and e-mails for marketing. See F10, 8, K or F8, E, 6, 3. A more complete explanation can be accessed by reading/printing the how-to called 'Customers - Mailer Code Adding'. 27-04-09 Spares:- Invoicing. ASSET will now check to see if there is a Gift Certificate (deposit) on an invoice, and if the customer has a type 'A' (credit) account. If this is the case a warning window appears and you will be taken back into the invoice. Deposits on 'A'ccount invoices go to the account and do not stop at the cashdraw so you can take the money. A better way is to apply the money for the deposit as a UAC entry onto the account. 27-04-09 Accounts Payable:- Enhanced feature. When a purchase is processed (INS, 1, 1) a list of all the G/L codes in the system was presented in alphabetical order of the description. This list could be very long. Now ASSET maintains a record of all the G/L codes you have/will use, and presents these codes at the top of the G/L listing. All other previously unused G/L codes are then listed beneath the 'have used' section so you can still see the entire list of codes. 24-04-09 Customers:- New feature. There is now a 'switch' that can be activated which will check customer accounts during invoicing for the fields considered to be a 'must have' for marketing and contact purposes. It will check for name address, contact numbers etc, and bring up a warning box if some of these are missing, and allow them to be edited. See F10, 8, J. to activate this feature and select the items that must be checked. When combined with the new and innovative marketing tools that have been or are soon to be released in ASSET, having a fully informed, up to date customer data base will be a must. The check will occur when invoicing spares, workshop and sales. 24-04-09 Spares Invoicing:- When a part is added to an invoice, the Excluding GST price will now display below the Retail (including GST) price. This is for those sites (like Dealquip) that often quote customers on List price rather than retail. 22-04-09 Customers:- Added features. You can now record a 'country', a 'title' and a web address for each customer ID. Country can be selected from the list. Titles can be selected from a list or new ones added to the list. Web addresses, once entered can be clicked on with the mouse and ASSET will open you web browser with that address. E.g:- If you have Dealquip setup as a customer, you could add Kev Day as the contact name, with a title of Mr., a country of Australia, and a web address of www.dealquip.com.au. Eventually these added features will be incorporated into the marketing features of ASSET for addressing people and items/posting. 08-04-09 Spares:- New feature. ASSET can now create the 'web import' file required by Briggs to upload orders into their online ordering system. Changes need to be made in the setup of your Briggs supplier code. See the How-To "Spares - Briggs setup for web orders" for full instructions. 08-04-09 Spares:- New feature. ASSET can now create the 'web import' file required by Suzuki to upload orders into their online ordering system. Changes need to be made in the setup of your Suzuki supplier code. See the How-To "Spares - Suzuki setup for web orders" for full instructions. 08-04-09 Spares:- New utility. There is a new utility to clear old records of customer deposit records. Over years many deposits (Gift Certificates) are recorded in the system, but never correctly picked up or cancelled. These deposits are all counted every time the charges report is calculated. The new utility will purge all record of deposits backwards from a specified date (minimum of 1 year ago), and print a report of the deletions if asked for. See F2, 9, 5. Read the warnings before doing. 06-04-09 Spares/Workshop:- Added Feature. It is now possible to invoice/credit freight cost to a Workshop job during Spare's invoicing. As in a 'normal' Spare Parts invoice users can charge freight on an invoice, it is now possible to do the same thing when invoicing to an internal Workshop Job. The Freight will show on the job as a part from the invoice. Credit notes will also now allow for freight to be credited to a workshop job. 26-03-09 Customers: Added feature. In Customer File Maintenance there is now the ability to include a contact name along with each of the E-mail addresses (main, A/R, A/P Spares, Sales, Service and Info). This is so as to allow for personal contacting when using e-mails as a marketing tool and to make the e-mail messages used from the 'print driver' to be personalised with the recipient's name included. Also your business name is included in the title of the e-mail and in the body of the message. In the near future marketing enhancements in ASSET will allow for the contact names in e-mails to be used to much greater effect. Changes can be made in File maintenance (F1 from customer display). The full e-mail list is displayed by clicking on the 'e-mail' field tag in customer displaying. 26-03-09 Suppliers: Added feature. In supplier file maintenance there is now the ability to include a contact name for the e-mails addresses setup. see note above for more detail. To add contact names or change e-mails simply click on the e-mail display. 24-03-09 Workshop:- New feature. In Workshop labour addition, it is now possible to enter starting & ending times for work done on a single job/stock code, on a single day for single mechanic, and the system will calculate the number of hours worked for you. When entering labour onto a job or stock code, you will see the option of entering 'T' or 'H' or 'D' (for Time, time and Half, Double) and the system takes you to a screen where up to five start/end time combinations can be entered and ASSET will calculate the hours. This feature works in Add Internal (F3,2,1), Add External (F3,2,2), and inside a job in Labour modify. 16-03-09 Sales:- New feature. In Sales display screen there is now the ability to add unlimited notes on to each individual Stock Code. See the menu entry 'N = Notes' on the Sales Screen. Users are able to add as many notes as required for every Stock Code. When there are notes associated with a Stock Code the menu entry changes to 'N =Notes PRESENT' and is displayed in reverse video. 16-03-09 Spares:- New utility. A utility to search for any text, anywhere within the description of any part in all supplier codes is now available. See F2, 2, G. This utility uses the same data file that the search description (F2, 2, 4) uses. The difference is that this utility will search anywhere within the description, not just from the start. The file should be refreshed using F2, 2, 4, R so that all the latest part numbers are included. 09-03-09 Spares:- Customer Backorders - New Feature. When a search is done in the 'Pickup Backorders' screen, the results are now saved, and can be referred back to. This means that if a search is done and the incorrect invoice is selected and the order displayed (using F1), when you go back to the 'Enter Invoice' screen, pressing F6 will re-display the results list, with the next entry highlighted. This will save having to do the same search over and over again if you do not find the invoice you wanted the first time. 05-03-09 Sales:- New Feature. A new feature has been added to the Sales Unit display screen. A HIN (Hull Identification Number) field exists next to the 'Warnings & Notices' heading line. The HIN can be up to 50 characters long and is used for sites that carry watercraft in their Sales stock. For sites that do not carry watercraft, the HIN field could be used to display some other information. The HIN is in the search routine and can be searched for. 04-03-09 Sales:- New Utility. A utility has been added to send a PDF version of the instructions on how to add images to sales units. See F8, 2, H. 03-03-09 Sales:- New Utility. A new reporting utility is in Sales to make a list of all Sales codes that have a selected accessory/attachment associated with them. Accessory/ Attachments can be added to the Sales display for any purpose (e.g Extended warranty registered, attachments included, etc). See F4, 4, A. 20-02-09 Customers:- New Utility. A utility has been added to give users the ability to print contact sheets with all current information from a customer's ID so that the account and contact details can be updated for accuracy, and targeted marketing campaigns. Each page has the current settings and data, and a place to record any new or changed details. It is optimised to print using the Gutenberg printers so that you will get the clearest printout with plenty of space to write updated information. See F10, 7, L. By using these sheets, you can contact customers and ensure that you have their very latest details. This feature (and the following two) have been implemented to allow users to better utilize the vast amount of information stored in the ASSET customer database. By incorporating the E-mail, letter printing and faxing utilities targeted campaigns will be much easier to produce. 20-02-09 Customers:- New feature. A field to record whether permission has been given by a customer to allow you to contact them via SMS, E-mail, mail and Fax to send specials and upcoming events etc. (SPAM). With the introduction of anti-spam laws it is a good idea to be able to record whether permission has been given or not. 20-02-09 Customers:- New feature. ASSET will now record the last time a modification was made to a customer's records. This date can then be used with the new 'Contact Sheet' feature to produce lists of customers who need their details updated. 11-02-09 Banking:- New utility to send a PDF version of the instructions on how to present the bank statement in ASSET. The file will be transferred to your Windows PC and then open up using Adobe Reader. See F8, 2,G 03-02-09 Labour rec:- travel kms and totals now reported. 03-02-09 Spares:- New Utility. A new utility exists to set the default response to either Read or Do Not Read any comments and customer notes if they exist when in invoicing. See F2, 1, K or F8, E, 2, E 19-01-09 Spares:- Bin Locations. There is a new report utility to list/print any part numbers in Bin Location order that have an average cost between a Low value and High value entered by the user. This may be handy when looking for part numbers that may have wrong average cost values that are causing your stock figures to be in error, or when looking for what larger value items are in stock. See F2, 7, 2, 8. 16-01-09 Printing:- The 'Export to Spreadsheet' is now in most programs that will use it. The spreadsheet version will make sorting reports and data much easier, and for removing unwanted data from a report when only a certain section is required. 05-12-08 Spares:- Updated feature. The pricelist report creating utility has been updated. The fields on the report can now be selected from a list with the mouse or via keyboard, and the spreadsheet export feature has been included. See F2, 5, 9. 03-12-08 Gift Vouchers:- New Feature. Users may now change the wording of the two lines that print on the Gift Voucher. Note that there are two lines of up to 75 characters that can be modified. Use the setup utility F2, H, 3. 20-11-08 Printing:- New Feature. An extra print option has been added to the 'Print Driver' send to device list. Position 15 (under View as Windows Text) is an option to 'Export to Spreadsheet'. This option (if available in a program) will create a comma delimited .CSV file {text files used in spreadsheets}, export it to your Windows computer, and open it using your default spreadsheet program (usually MS Excel) The file will be called 'SPREADSHEETnnn.CSV' where nnn will be your current THEOS user PID number. Note that if the facility is not included in a program, or if there is no spreadsheet possible from the printing of a program, the menu item will just say 'Reserved'. Hint:- If you want to use formatting features like fonts, bold/underline/italics, links, formulas etc., you will want to save the file as a true spreadsheet (.XLS) rather than as text (.CSV). 19-11-08 ASSET:- Help. The Help feature built into ASSET has been rewritten. To allow for the enhanced features of Distributed Windows Management, the entire help system is now windows browser based. When you press from within a program that does have (note not all programs have internal help yet) the help files written, the system will display the help in your Internet Browser program so you can click links to 'jump' to further help, print (full or selective) click the 'back' or 'forward' buttons, etc. This features makes the help system far more usable on terminals then ever before. Press F9 from the ASSET menu to display a large help display. Note:- many more help windows and tips will now be following, as they can be used interactively to assist users. 12-11-08 Menu:- New Feature. There is now a 'Favourites' feature built into the ASSET main menu. The Favourites menu can hold up to 100 menu items extracted from the full list of menu entries in ASSET. Favourites can be accessed by pressing 'F' when the button is visible, or clicking on the button with your mouse, or by pressing the 'DEL' key at any time the ASSET menu is displayed. Even if other sub-menus are dropped down, the DEL key will invoke your Favourites. The list is kept in a file based on the IP Address of your computer terminal. Users with Fixed IP addresses setup will always get their menu. Users with Dynamic IP addresses will know that their IP address can change and therefore the menu will not be accessible. See the How-to on usage and configuration. @4431-10-08 ### New THEOS Workstation:- ### There is a new (Beta version, or not a full commercial release) version (3.18) ### of the THEOS Workstation program. As it is in the Beta stage of development, there ### are a few bugs that have yet to be ironed out. But for those users who would like ### the full Distributed Windows features (like scroll mouse and spreadsheet from the ### screen display, etc.) this is the way to go. When the commercial release is available, ### it will be placed into the system for you to update your current version. ### To get a copy of the new version, and install it onto your PC, ring Kev Day at ### Dealquip. The program is on your system, you will just need help to get it into your ### Windows PC. The procedure only takes a moment and the difference is worth the effort. @4429-10-08 ### Format change:- ### A great deal of development has gone into enhancing the capabilities of Advance ASSET ### to integrate with the Windows Environment. All users are running Windows PCs as their ### workstations. With the new 'Distributed Windows Manager' in THEOS it is now ### possible to view most screens and icons in ASSET as if they were in your Windows ### PC. To gain full benefit of the new look and feel to ASSET, users will have to enable ### the Distributed Windows Manager in their THEOS WorkStation program. ### Click the 'Configuration' Menu, select 'miscellaneous', ### Click the 'Distributed THEOS Support' tab ### Enable all the distributed windows capabilities. ### Save the settings and restart your Workstation session. (It is on the CD provided with Corona updates). @4429-10-08 ### Format change:- ### As noted above, there are now many more possibilities available when using ASSET on ### your Windows PC. BUT some users may not like or want these capabilities. If you want ### limit most of the new screen display features, all that is necessary is to turn off ### all Distributed Windows features in the version of THEOS WorkStation your are running. ### It appears that to gain the most benefit from the new features, the patch level of ### your THEOS operating system should be the very latest version. There is a download ### available on the Dealquip web site to create a CD for installing the latest Patch ### levels of THEOS. Ring Dealquip for information and help on doing the update if you ### need to. 29-10-08 Print Driver:- The enhancements to ASSET using Windows Distribution have begun. The print driver now displays to the screen in a browser window. Scroll mouse will work, print from windows works, send to windows text file works. In 'send to screen' users can now scroll around, print to Windows, Export straight into MS Excel as a spreadsheet, and lots more. See the note above regarding Distributed Windows Management to get the most out of your workstations terminal. 29-10-08 Sales:- New Feature. A reminder system has been built into the Sales Invoicing program to remind staff that any 'Cashback' values must be taken into consideration and handled appropriately during and after invoicing so that monies will balance. See F8, E, 4, 4. to enable/disable this feature. 29-10-08 Spares:- Invoice Printing. There is a new option to select from when printing or reprinting a Spares's invoice. The option is 'Print pickup labels'. If selected, this option will allow users to selectively print labels for parts on the invoice. This is so that when picking parts, or freighting them, and the part does not normally have a label (e.g. washers, pins, bushes etc) users can print a label for the parts. This will make it easier for you customers to discern what parts they are receiving. If this option is ticked, the program will stop at the very last step and give users the choice of which parts and how many labels to print. 09-10-08 Spares:- Masterfiles. A feature has been added to the 'Update Master to Stock' program that asks users if they would like to skip writing the new sell prices from a masterfile if the current sell prices are higher than the new ones. I.e. if rec. sell prices drop, you can tell ASSET not to write the lower prices IF the current prices are higher AND there is stock of a part. No stock on hand or answer N to this and all prices are rewritten as it used to do. 09-10-08 Spares:- Invoicing. If a part number has a pack size greater than 1, a warning message will display above the quantity field to let users know that the part must be ordered by pack size. This is so you can get an idea of order quantities during the invoice. 07-10-08 Spares:- New feature. A feature has been added to allow users to have a third grouping of supplier codes separated out on the charges report. Already there is genuine parts and appliances/accessories. The third group possible is named Boat Sales. This is for Dealquip, as we are getting new divisions within our Spares department, BUT other sites may want to use this capability for separating sales and stock of certain types of suppliers etc. The list of suppliers can be setup using F2, 7, F and F2, 7, J. 02-10-08 Print Driver:- A change has been made to the 'Screen' display. Instead of a Window Choice box which is limited by what can fit horizontally on the screen, it now uses a Window List box. The Window List box will display the same data as before except it can scroll right or left if the data is wider than what will fit on a screen. For users who use the 'Screen' display regularly they will notice a scroll bar on the right hand side if more data exists down the page, and a scroll bar on the bottom if there is more data outside the current screen width. This will make scrolling around reports and large printouts easier and more efficient. Reports and lists that were once 'cropped' at the edge of the screen, can now be scrolled accross and down to see what was once hidden. Note:- Mouse click on the arrows in a scroll bar to advance ONE LINE per click. Mouse click ON the scroll bar below or above the position indicator to go down or up ONE PAGE per click. 29-09-08 Sales:- Despatch System. A new feature has been added to the Sales System. A Sales Despatch system has been introduced. Similar to the Spares Despatch system, it allows users to record details of Sales Units being shipped. It records all details of couriers, con notes, packing method etc, can print a despatch note, and has a detailed search facility for answering enquiries quickly. See F4, A, 1 and F4, A, 2. The system can be enable or disabled via a utility and the default to print or not can be set. See F4, A, 3. 22-09-08 Masterfiles:- Add the ability for masterfiles to include manufacturer's barcode numbers. If a price file from a supplier includes the barcodes on the products the update program will write the barcodes as well as the usual prices etc. Any time you are talking to your suppliers and they can provide a price file that includes their product barcodes, you should be asking for a copy. 22-09-08 Workshop:- Rego Numbers. A new feature has been included into Workshop jobs that will create a reference file associating rego numbers with serial/VIN numbers. When a new job is created and a rego number is inserted, this system will search the reference file and return with the serial/VIN number associated with it (if found). The reference file is created automatically when you open the first new job. After that, the file is maintained whenever rego or serial numbers are modified in a job. 22-09-08 End of Month:- As part of the major re-write, all of the end of month programs now include the ability to print using a Gutenberg printer. All reports and statements that would normally print to a report printer can now use a Gutenberg printer. To change to a Gutenberg printer use the setup utility F8, E, 7, 5. 22-09-08 End of Month:- There is a new end of month report 'reprint' facility. Every report from every end of month is now saved and can be reprinted at any time in the future. The reports are saved in the format they were originally printed in, and will open with the print driver screen so you can select what printer to use to reprint them. There is also an extra report that is not printed, but is are now saved. This report is created when ASSET calculates your Sales Stock. The report will list all Sales Stock with values, and can now be reprinted. So now users will be able to print their Sales stock on hand for any month saved (if needed). See TAB, 4, 3. This does not replace the 'T' endmTh report button, but is more flexible as it includes the print driver for more printer selections. 22-09-08 Major Change:- A major re-write of 444 programs has now made it possible to include the Gutenberg print capabilities in every program. When anything is printed it should now display the 'Print driver' selection screen, and the Gutenberg printer options will be on the list. This means that there is now no requirement to have report printers and invoice printers of the old dot matrix type. Everything can be printed to laser. Reports are formatted so that they print in landscape mode (sideways) on a page. Even end of month reports can now all be printed to laser printers via the Gutenberg interface. Use the new printer setup utility (F8, E, 7, 5) to correctly change the control files in ASSET to use new printers. ### Due to the thousands of places where edits have been done, I need users to report ### any errors or print problems as soon as they occur. Every effort has been made to ### test all changes but there may be some that slip through. ### Your help and understanding would be greatly appreciated. 23-08-08 Spares:- Multi-order receiving. Features added to allow comments and prices (retail, list, trade, wsale) to be changed during modification. Also, if there is a problem part that generates a warning message, the message now includes the line item number that caused the warning. When it returns to the list, it automatically highlights the offending line. 18-08-08 Payroll:- The ability to calculate and deduct HELP Higher Education Loan Programme and SFSS Student Financial Supplement Scheme repayments from an employee's wages. If you have any employees who have indicated that they have such debts and need repayments taken out of their wage, you need to modify their payroll records with the new section added into payroll. Deductions are calculated and deductad with tax. 17-08-08 Spares:- Multi-Order receiving. A new feature added to the multi-order receiving system. A line has been added to the bottom of the screen which gives full details of each highlighted line in the order list box. Details include EXC cost, Qty reveived, EXC total, GST and line total. Hopefully this will make it easier to work out pricing for some suppliers with strange invoice printouts, and easily see if a line does not agree with the prices charged. 15-08-08 Spares:- Honda orders. Added a switch to send the order to Honda as a Stock or Daily order, no matter what the order type in ASSET is. If a Daily order is not urgent and you want to tell Honda it is a stock order to get an extra discount, this switch will format the order file as if it was a stock order request being sent. Remember if you modify the cost when receiving you will be changing the normal Daily cost. 14-08-08 Spares:- Yamaha orders. The ASSET system has been modified so that Yamaha orders when printed, will produce a file and send it to your PC. This file can be uploaded to Yamaha through the web. This should mean that there is no need to re-type every part number into the Yamaha web system every time you make an order. See the How-To:- "Spares - Yamaha setup for web orders" for full instructions. 12-08-08 ASSET Menu: New feature. Any time a user accidentally changes the size of the screen and cannot display the ASSET menu and some programs properly, the screen can be restored to normal by simply pressing X. This will run the 'SESSION MAXIMIZE' command. 12-08-08 G/L: New report. A new report has been added to the Financial Reports section. This utility will produce a spreadsheet containing every G/L code used within a single financial year, and list each period's total. The spreadsheet is then sent to your PC. See F1, 5, H. 08-08-08 Spares:- Honda orders. The ASSET system has been modified so that Honda orders when printed, will produce a file and send it to your PC. This file can be uploaded to Honda through the web. This should mean that there is no need to re-type every part number into the honda web system every time you make an order. See the How-To:- "Spares - Honda setup for web orders" for full instructions. 21-07-08 Printers:- New utility. A new setup utility is in place that will allow users to setup all default printers in all control files. Recent changes to hardware configurations brought about a realisation that changing default printers in all the different control files was a cumbersome task. This new utility will make changing default printer settings easy. Simply select the printer type and then select the printer to use and the job is done. See F8, E, 7, 5 or F8, C, 5. 18-07-08 Workshop:- New feature. When creating a new Workshop job, after entering the customer ID and order number, ASSET will present a list of previous workshop jobs and machine sales recorded against that customer. Users can select an entry from the list that corresponds to the new job details (if one exists) or enter on the top line to bypass this feature and proceed manually. If the make, model and serial number are recorded on a selection, these figures will be used for creating the new job. Hopefully this might go some way to keeping records more accurate and in line with each other. 06-07-08 Sales:- New Feature - A new feature to enable/disable the printing of delivery dockets when a Sales Invoice is printed or reprinted. See F4,3,8 or F8,E,4,3. Once enable, at the end of producing an invoice a choice box allows users to decide if a delivery docket is required. The delivery name and address can be changed for times when the delivery is to be made to a third party, or a different address than that recorded on a customer. 04-07-08 Sales:- New Report - There is a new report in Sales to display/print a list of current Sales Stock that was floorplanned and has been paid out in full. See F4, 4, 9. 03-07-08 Spares:- Supersessions - New Feature and utility. There is now the ability to see and select 'reverse supersessions' in ASSET, while in Invoicing and Parts Enquiry. Every time an Average Cost report (manually F2,5,2. or during the backup) runs it will update a data file containing a list of reverse supersessions for parts. Also ### there is a new utility (see F2, 2, F or TAB, 7, 6) to manually update a similar data file for all your masterfiles. If a part is entered on an invoice or displayed in parts enquiry, a 'flag' is highlighted indicated whether the part has reverse supersessions available. You can list the reverse supersessions, and if there is old stock, you can select and use this instead of ordering the newest part number. Normal 'forward' supersessions still work as they used to. 02-07-08 Spares:- Bin Locations - New utility to analyse your bin locations and report on any bins that have more than the allotted maximum count per bin. Any bins over the maximum can then be fixed automatically by this utility. See F2,7,2,7. 24-06-08 Spares:- Ordering - New Feature. Receiving Parts orders has been re-written. There is now a 'multi-part' receiving system. This system will present a list of all parts able to be received on an order, and allow users to modify features like pricing, quantity received, barcode, serial numbers etc. Lines on the list can be 'ticked or unticked' for receiving or not. Once modified (if necessary) the entire order can be received in a single stroke. See How-To 'Spares - Multi part receiving' for full instructions and explanation. Note that the 'old' one part at a time system is the default selection and still works exactly the same as before. The multi-part receiving system works with Daily and Stock orders. 23-06-08 Spares:- New report. A search/report facility has been added where users can search through a supplier (or all suppliers) for average costs that are above an entered value. This report will also list part numbers (in stock) with an average cost of zero. This might be useful for sites that have large discrepancies between G/L and parts totals that are caused by a large (and wrong) average cost value. See F2, 5, P. 19-06-08 Spares:- Quotes - New feature. In 'Reprint Quotes' there is now an added feature where users can do a detailed search to try and reduce the number of quotes that display in a list to choose from. It searches the customer's name, street, city account ID and the reference on the quote and produces a list of any matching quotes to choose from. See F2, 4, 2. 19-06-08 Spares:- Bin Report changed to allow for the printed report to only list part numbers in a bin location that ARE in stock (i.e: qty is not zero). Also now includes the Gutenberg print driver. See F2, 7, 2, 3. 17-06-08 Spares:- Interchangeable Parts list now include any quantities 'not yet received' on the LAST Stock Order, and the order number. The list is now in alphabetical order by SUP-PART NUMBER. 14-06-08 Spares Invoicing:- Additional feature. See entry 16-05-08 & 03-06-08 'Sell under cost & discount passwords', an extra feature has been implemented whereby a maximum discount OFF RETAIL can be set. If the 'No Under Cost' password is enabled either a minimum markup OR a maximum discount can be set and passworded so that sell prices cannot be below an allowable level. See F8, E, 2, C. 13-06-08 Stock Take: The Stock Take procedure has had the Gutenberg print driver included in it. This will allow for reports to be printed (or not) to any printer on the print driver list including any Gutenberg (printer 20, 21, 22,..etc) printer. The reports will print on A4 in landscape orientation in fonts small enough to fit all lines on the page. 13-06-08 There is a new How-To called 'Spares - Stock Take Procedure' to guide you through a Stock Take explaining each step of the process. 13-06-08 ### Disclaimer:- The new Gutenberg print style for invoices and orders includes ### ### a disclaimer that prints at the bottom of each page. The wording for this ### ### disclaimer is default as used by Dealquip, BUT CAN BE CHANGED. ### ### Users should carefully read this disclaimer, and if you do not agree with ### ### any of the wording, there is a utility that allows users to edit the ### ### disclaimer to suit their needs and requirements. See F2, 1, I ### ### No responsibility will be taken for any outcomes as a result of this disclaimer. 10-06-08 End Year: Utility to transfer a PDF version of the 0708 End of Year instructions from ASSET to your local windows PC, and open them in Adobe Reader. See F8, 2, F. 06-06-08 Suppliers: For sites that have a STAR thermal label printer there is a utility built into Supplier Maintenance that allows user to print a 'con' label addressed to the supplier in large print, for sticking onto parcels being returned to them. Press Shift-F6 at the supplier screen to print a label. Note that this feature has also been available in 'customers' for some time. 06-06-08 Sales/Workshop: Model Numbers have been increased to 12 characters. Most places in ASSET will display the full 12 characters. Some 'squeezing' of data was required in certain programs so there may be a few places where the full 12 characters could not be displayed but they should still contain 12 if needed. 06-06-08 Spares: New feature - Invoice printing. For those sites that are having problems printing Spares invoices with the new reduced print size that allows for 40 character descriptions and 25 character partnumbers, there is now an alternative. The print size is not reduced, but the description only prints 18 out of 40 characters. The new print type can be selected by doing a reprint (F2, 1, 3) and pressing F1 to select print style. It is option 5 on the list. 04-06-08 Payroll: New PAYG tax scales added for financial year 2008 - 2009. All wages processed after 01-07-2008 will use the new tax scales. 03-06-08 Spares: Invoicing - If retail price is less than GST inclusive sell price (i.e. if sell price has been increased) then the print program will add 10% to the INC sell price and print this as the retail, to indicate that retail is always at least the sell price or higher. Gives the impression that customers are getting a good deal. 03-06-08 Spares: Discounts - New feature to enable the use of a password when applying any additional discounts while processing a Spare's Invoice. Passwords can be enabled or disabled, so that when the "Discount Addition" option is used during an invoice the user must provide a password or it will be disallowed. See F8, E, 2, D to setup. 30-05-08 Spares: Stock Ordering - A new feature in Stock Order Generator that allows users to enter a number of months back to skip older parts. For suppliers that have yearly models or seasonal items, you can now enter a number of months that the program will use to check the age (how long you have stocked a part) and ignore parts aged older than the number of months you enter. 30-05-08 Spares: Stock Ordering - If a part is deleted from a Stock Order and the order number is the same as the number registered in the part, the last stock order number registered in the part is removed so as not to mistakenly record the part as still being on backorder. 16-05-08 Spares: Selling below cost - New feature. A new feature has been added to the spares invoicing program which allows users/managers to force the program to NOT ALLOW any part to be sold for less than either the Daily cost or Average cost, unless a password is entered. This feature is setup with the utility in F8, E, 2, C) and allows for any 5 letter password to be used. Once enable, the password is required to get in and change/disable the feature. Also this feature includes a setting for MINIMUM markup acceptable. By setting this amount as a percentage, sales that fall below the higher of the daily or average cost PLUS the minimum markup % will not be allowed. Setting it to zero disables this feature. Be Warned though:- Not allowing below cost sales will not stop staff selling at just above cost price. You still need to be vigilent. 11-05-08 Spares: Missed Sales - New feature. A new feature has been included so that every time a Spares Invoice/Enquiry is cancelled, ASSET MUST record it (as opposed to the current asking if it should be recorded). This feature will save the results for reporting/analysis in the missed sales section (F2, 5, E). It will also allow for a report of every missed/cancelled sale to be sent via e-mail to the manager. It highlights the fact that a cancelled sale is from a customer order pickup. This can highlight incidences of "no receipt wanted - I'll pocket the cash" and slow sales due to pricing or other factors that need to be addressed. See (F8, E, 2, B) to enable and setup e-mailing. Password protected with the daycode. 29-04-08 Print Spooler: Change to the Print Spooler utility. ASSET now displays the THEOS Corona Spooler Utility. Use this feature to view spooler status and kill printer entries to the spooler. 24-04-08 New Utility: Debtors: A new search/report function that allows users to report on debtors for any time the debtor file was saved (during a backup). Produces an Aged Debtors listing for that date, and creates a spreadsheet called 'KCARAGE.CSV' which it transfers to the user's terminal. See F10, 7, K. 22-04-08 New Utility: Creditors: A new search/report function that allows users to report on creditors for any time the creditor file was saved (during a backup). Selection can be all, only open invoices, only held invoices, only floorplan or all except floorplan. The report can be printed and a summarised spreadsheet called 'SUPLAGED.csv' is created and sent to users terminals. See INS, 5, B. 18-04-08 New feature: Workshop Kits & Minikits. Users can now include default labour amounts within a kit or minikit for creating or maintaining Workshop jobs. By entering the time (in hours) and the Rate (in dollars) inside specific characters, ASSET will bring up a window and ask for the mechanic's initials to allocate the labour to and automatically update the job with the labour charged. See the How-To "Workshop - Auto Labour adding by KITS" for full instructions. 09-04-08 New feature: Harley Davidson dealers who want to use the PAM search tools can now create and send the data file via e-mail directly to Harley. See F2, 7, E, 7. 20-03-08 New feature: Individual users can be setup with a default printer selection for the print driver selection box. This will override other defaults so that any user can have their 'usual' printer as the default selection when printing. This will save time by having your usual printer already selected and not having to scroll to it. There are two settings:- One for the default printer selection when the Gutenberg Option is not available and one for when Gutenberg is present. E.g. For times when there is no Gutenberg option use the 'to PC Browser', and when Gutenberg option is available use 'PRT20 Gutenb1". Use the 'Setup CONTROL.PID' utility. See F8, A. 20-03-08 New feature: Gutenberg printer can be setup as the default selection when the print driver selection box is displayed and there is a Gutenberg option available. See F8, C, 4. 12-03-08 Spares: Stock Orders - A new feature that allows users when they do a Stock Order generator and select 'N' to NOT skip backorders, to select only the last stock order a part was on, or all stock orders for the previous 6 months. This might save reordering stock that has been backordered for a couple of months or more. Note that to search backorders will take longer. 06-03-08 Upgrades: New utility that will transfer a PDF version of the Web -> Masterfile upgrade instructions to your PC and open the file in Adobe Reader. File has detailed picture instructions on performing the Masterfile upgrades in the new Corona System. See F8, 2, E. Note:- Designed to work on a terminal - not the main server. 05-03-08 Upgrades: New utility that will transfer a PDF version of the Web -> ASSET upgrade instructions to your PC and open the file in Adobe Reader. File has detailed picture instructions on performing the ASSET upgrades in the new Corona System. See F8, 2, D. Note:- Designed to work on a terminal - not the main server. 04-03-08 Printing: Enhanced the print driver in ASSET to better handle pages breaks so most printed material should print correctly within a page. 03-03-08 Spares: Ordering. Amount of part numbers that can be ordered on a single invoice increased from 10 to 98. An invoice can now be full (98 lines) and each line be an on-order part. 19-02-08 Spares: Ordering. Added ability to record manufacturer's barcode for a part at the point of receiving orders. 14-02-08 Spares: Invoicing. Spare Parts Kits can now hold up to 20 part numbers (up from the previous capacity of 10). Kit ID's can now be up to 25 characters. 08-02-08 Accounts: Statements. A new report that will print a list of any customer IDs and e-mail addresses that statements were sent via e-mail to. Handy to check that any customers setup for e-mailing statements were sent through ASSET. See F10, 7, J. 06-02-08 Sales: Invoicing. When a TRADE is taken on a Sales invoice, ASSET now asks if you want to apply a Credit Limit to the new stock code. Saves having to go into customers and modify the credit limit. 04-02-08 Spares: Invoicing. When a customer ID is entered on an invoice, ASSET will check to see if there are any notes or comments held for that customer, and display a choice box allowing users to display all notes and comments on the screen at the point of invoicing. The default is NO, just enter to proceed. 04-02-08 Spares: Spares invoicing. If a part number is entered or scanned and not found 'as is' ASSET will remove the last character and re-search. If this is not found ASSET will remove the last two characters and re-search. This may be handy for certain barcodes the use the last digit as a check number and not in the part number. It may also help when scanning barcodes (eg Yamaha) which are designed for different countries, where there may be an extra two digits on the barcode. Also, ASSET will trim all non numbers or letters in a barcode and search. This will help with genuine barcodes that can be full of "."s "/"s and "-"s. E.g "12345-678/AB\CD.E" will become "12345678ABCDE" 04-02-08 Customers: When creating a new customer ID with a pick ID from a list longer than 20 existing customers, ASSET will now search the existing customer list and display any 'near matches' in an attempt to reduce duplicating ID's for the same person. 30-01-08 Spares: Manufacturer's barcode will now return the part number in enquiries (F2, 2, 1) and File maintenance (F2, 7, 1) 30-01-08 Spares: Serial numbers - if more stock on hand than serial numbers on hand, a box will display allowing users to add the serial numbers of parts in stock, not already recorded. 30-01-08 Spares: Invoicing - Shift-F1 (sales history of a part) now displays quantities - Shift-F2 (order history of a part) now displays quantities New features in Corona version of ADVANCE ASSET General: *Screen size now 100x36 (old screen was 80x24) *Print driver has PDF converter option which creates a PDF document and sends it to a terminal *Print driver has 'View as printed' Screen option better than the existing 'to screen' *Print driver has Gutenberg printer option for printing formatted text to laser/bubble jet printers. Occassionally a 'ticked' entry in the cashdraw will fail to clear from the screen after banking. Previously these entries had to be deleted manually using the file utilities in F8. There is now a utility in Banking which allows users to delete entries from the cashdraw if they do not clear when the banking is ticked. Also, the new mini-kit system is in the modify existing job description. Now you can insert mini kits into the description of an existing job. Note the bottom left corner, it has INSERT or OVRTYPE indicating what type mode is active for a line. Also note that inserting a mini kit overtypes what is on a line. 02-05-06 Workshop:- New feature. E.g. If you wanted to compare the sales for supplier ABC in month 9 (September) between years 2004 and 2005, and have a list of all customers with their sales and profit totals, this is it. See F2, 5, L 08-09-05 Accounts Payable:- The Aged Vendor List program has been enhanced. This field will display the GST which is available to be claimed when all Floor Planned Stock is paid for. REASON:- The GST on Floor Plans (Bailments) is calculated at the time the Bailment is entered into the system (i.e. It goes into the G/L and into the GST file). BUT because GST is NOT CLAIMABLE until the Bailment is paid out, this has been making the G/L and GST files not match. Now, this entry should explain the difference between the Tax Total and the GST Owed fields. In the Audit report -Out of Balance utility (F1, 5, C) this figure is used with the G/L figure to compare with the GST file figure. 21-04-05 Spares Menu:- A change to the Utilities Menu F2, 7. NOW if the 10th supplier code is set to *** (three asterisks), ALL SUPPLIER CODES which DO NOT appear in positions 1 through 9 will be discounted by the 10th position setting. E.g customer ABC001 gets -15% on HND parts, and -20% on SUZ parts, and -8% on all other suppliers. (Ring Kev Day for instructions) 01-02-05 New Utility: Spares - Clean up History and Pricing numbers. Occasionally a part number will get a history value which is larger than 1000 in a month, or a price that is a fractional number. See F2, 7, L. 16-02-05 New Utility: Spares - Searching for a customers order number. This can have staff members names entered into it, and the status of any person (In or Out) can be quickly and easily updated. Should be handy for sites in larger or multiple buildings for letting others know of people's status. 13-01-05 Spares Invoicing:- A new utility exits which allows users to save 4 lines of notes regarding freight instructions for each customer. If a customer has left instructions on how goods should be delivered (eg their courier and account number), you can write a note for this customer code which will pop-up when you get to the freight charge field when invoicing. Until 'TOT'ing, these temporary entries (except UAC) can be deleted in case of a mistake on entering. F10, 1, 4 'Cancel Bank Transaction' will now list the contents of the temporary holding file, and allow users to delete entries. Each entry on the list can be displayed or printed, and then you return to the list. See H How-To button, entry 4 "SEARCH" 17-03-04 Sales:- A possible problem has been identified if the customer ID on a Sales Invoice is changed. Because GST claims on trade-ins are calculated based on the ABN of the customer who takes delivery, changing that customer at the end of invoicing could mean that GST would be calculated wrongly. From now on, the customer ID used to get into sales invoicing MUST be the ID which takes delivery or who is trading. If the ABN or ID is changed, a warning is displayed and the invoice will have to be re-entered. Please choose carefully. The Finance ID (first ID selected when invoicing) can be changed to any customer (or left the same) without affecting GST. 17-03-04 Customers:- When F10 (sales invoicing) is selected from within the customer display, a warning box displays emphasising the need to ensure that the customer selected will be the person who takes delivery, or from whom you will be trading.
