This is a list of all major changes & additions to the Advance Asset program. Please read new features carefully. PLEASE follow any instructions for user changes that MUST be followed. Changes will be indicated with ### at the start of each line. 05-12-08 Spares:- Updated feature. The pricelist report creating utility has been updated. The fields on the report can now be selected o=from a list with the mouse or via keyboard, and the spreadsheet export feature has been included. See F2, 5, 9. 03-12-08 Gift Vouchers:- New Feature. Users may now change the wording of the two lines that print on the Gift Voucher. Note that there are two lines of up to 75 characters that can be modified. Use the setup utility F2, H, 3. 20-11-08 Printing:- New Feature. An extra print option has been added to the 'Print Driver' send to device list. Position 15 (under View as Windows Text) is an option to 'Export to Spreadsheet'. This option (if available in a program) will create a comma delimited .CSV file {text files used in spreadsheets}, export it to your Windows computer, and open it using your default spreadsheet program (usually MS Excel) The file will be called 'SPREADSHEETnnn.CSV' where nnn will be your current THEOS user PID number. Note that if the facility is not included in a program, or if there is no spreadsheet possible from the printing of a program, the menu item will just say 'Reserved'. Hint:- If you want to use formatting features like fonts, bold/underline/italics, links, formulas etc., you will want to save the file as a true spreadsheet (.XLS) rather than as text (.CSV). 19-11-08 ASSET:- Help. The Help feature built into ASSET has been rewritten. To allow for the enhanced features of Distributed Windows Management, the entire help system is now windows browser based. When you press from within a program that does have (note not all programs have internal help yet) the help files written, the system will display the help in your Internet Browser program so you can click links to 'jump' to further help, print (full or selective) click the 'back' or 'forward' buttons, etc. This features makes the help system far more useable on terminals then ever before. Press F9 from the ASSET menu to display a large help display. Note:- many more help windows and tips will now be following, as they can be used interactively to assist users. 12-11-08 Menu:- New Feature. There is now a 'Favourites' feature built into the ASSET main menu. The Favourites menu can hold up to 100 menu items extracted from the full list of menu entries in ASSET. Favourites can be accessed by pressing 'F' when the button is visible, or clicking on the button with your mouse, or by pressing the 'DEL' key at any time the ASSET menu is displayed. Even if other sub-menus are dropped down, the DEL key will invoke your Favourites. The list is kept in a file based on the IP Address of your computer terminal. Users with Fixed IP addresses setup will always get their menu. Users with Dynamic IP addresses will know that their IP address can change and therefore the menu will not be accessible. See the How-to on usage and configuration. @4431-10-08 ### New THEOS Workstation:- ### There is a new (Beta version, or not a full commercial release) version (3.18) ### of the THEOS Workstation program. As it is in the Beta stage of development, there ### are a few bugs that have yet to be ironed out. But for those users who would like ### the full Distributed Windows features (like scroll mouse and spreadsheet from the ### screen display,etc.) this is the way to go. When the commercial release is available, ### it will be placed into the system for you to update your current version. ### To get a copy of the new version, and install it onto your PC, ring Kev Day at ### Dealquip. The program is on your system, you will just need help to get it into your ### Windows PC. The procedure only takes a moment and the difference is worth the effort. @4429-10-08 ### Format change:- ### A great deal of development has gone into enhancing the capabilities of Advance ASSET ### to integrate with the Windows Environment. All users are running Windows PCs as their ### workstations. With the new 'Distributed Windows Manager' in THEOS it is now ### possible to view most screens and icons in ASSET as if they were in your Windows ### PC. To gain full benefit of the new look and feel to ASSET, users will have to enable ### the Distributed Windows Manager in their THEOS WorkStation program. ### Click the 'Configuration' Menu, select 'miscellaneous', ### Click the 'Distributed THEOS Support' tab ### Enable all the distributed windows capabilities. ### Save the settings and restart your Workstation session. You should now start to see ### THEOS 'stuff' as if it were from Windows (e.g. maximise, minimise, move windows and ### forms etc.) It is strongly recommended that users update their Workstation ### version to the latest one. (It is on the CD provided with Corona updates). @4429-10-08 ### Format change:- ### As noted above, there are now many more possibilities available when using ASSET on ### your Windows PC. BUT some users may not like or want these capabilities. If you want ### limit most of the new screen display features, all that is necessary is to turn off ### all Distributed Windows features in the version of THEOS WorkStation your are running. ### It appears that to gain the most benefit from the new features, the patch level of ### your THEOS operating system should be the very latest version. There is a download ### available on the Dealquip web site to create a CD for installing the latest Patch ### levels of THEOS. Ring Dealquip for information and help on doing the update if you ### need to. 29-10-08 Print Driver:- The enhancements to ASSET using Windows Distribution have begun. The print driver now displays to the screen in a browser window. Scroll mouse will work, print from windows works, send to windows text file works. In 'send to screen' users can now scroll around, print to Windows, Export straight into MS Excel as a spreadsheet, and lots more. See the note above regarding Distributed Windows Management to get the most out of your workstations terminal. 29-10-08 Sales:- New Feature. A reminder system has been built into the Sales Invoicing program to remind staff that any 'Cashback' values must be taken into consideration and handled appropriately during and after invoicing so that monies will balance. See F8, E, 4, 4. to enable/disable this feature. 29-10-08 Spares:- Invoice Printing. There is a new option to select from when printing or reprinting a Spares's invoice. The option is 'Print pickup labels'. If selected, this option will allow users to selectively print labels for parts on the invoice. This is so that when picking parts, or freighting them, and the part does not normally have a label (e.g. washers, pins, bushes etc) users can print a label for the parts. This will make it easier for you customers to discern what parts they are receiving. If this option is ticked, the program will stop at the very last step and give users the choice of which parts and how many labels to print. 09-10-08 Spares:- Masterfiles. A feature has been added to the 'Update Master to Stock' program that asks users if they would like to skip writing the new sell prices from a masterfile if the current sell prices are higher than the new ones. I.e. if rec. sell prices drop, you can tell ASSET not to write the lower prices IF the current prices are higher AND there is stock of a part. No stock on hand or answer N to this and all prices are rewritten as it used to do. 09-10-08 Spares:- Invoicing. If a part number has a pack size greater than 1, a warning message will display above the quantity field to let users know that the part must be ordered by pack size. This is so you can get an idea of order quantities during the invoice. 07-10-08 Spares:- New feature. A feature has been added to allow users to have a third grouping of supplier codes separated out on the charges report. Already there is genuine parts and appliances/accessories. The third group possible is named Boat Sales. This is for Dealquip, as we are getting new divisions within our Spares department, BUT other sites may want to use this capability for separating sales and stock of certain types of suppliers etc. The list of suppliers can be setup using F2, 7, F and F2, 7, J. 02-10-08 Print Driver:- A change has been made to the 'Screen' display. Instead of a Window Choice box which is limited by what can fit horizontally on the screen, it now uses a Window List box. The Window List box will display the same data as before except it can scroll right or left if the data is wider than what will fit on a screen. For users who use the 'Screen' display regularly they will notice a scroll bar on the right hand side if more data exists down the page, and a scroll bar on the bottom if there is more data outside the current screen width. This will make scrolling around reports and large printouts easier and more efficient. Reports and lists that were once 'cropped' at the edge of the screen, can now be scrolled accross and down to see what was once hidden. Note:- Mouse click on the arrows in a scroll bar to advance ONE LINE per click. Mouse click ON the scroll bar below or above the position indicator to go down or up ONE PAGE per click. 29-09-08 Sales:- Despatch System. A new feature has been added to the Sales System. A Sales Despatch system has been introduced. Similar to the Spares Despatch system, it allows users to record details of Sales Units being shipped. It records all details of couriers, con notes, packing method etc, can print a despatch note, and has a detailed search facility for answering enquiries quickly. See F4, A, 1 and F4, A, 2. The system can be enable or disabled via a utility and the default to print or not can be set. See F4, A, 3. 22-09-08 Masterfiles:- Add the ability for masterfiles to include manufacturer's barcode numbers. If a price file from a supplier includes the barcodes on the products the update program will write the barcodes as well as the usual prices etc. Any time you are talking to your suppliers and they can provide a price file that includes their product barcodes, you should be asking for a copy. 22-09-08 Workshop:- Rego Numbers. A new feature has been included into Workshop jobs that will create a reference file associating rego numbers with serial/VIN numbers. When a new job is created and a rego number is inserted, this system will search the reference file and return with the serial/VIN number associated with it (if found). The reference file is created automatically when you open the first new job. After that, the file is maintained whenever rego or serial numbers are modified in a job. 22-09-08 End of Month:- As part of the major re-write, all of the end of month programs now include the ability to print using a Gutenberg printer. All reports and statements that would normally print to a report printer can now use a Gutenberg printer. To change to a Gutenberg printer use the setup utility F8, E, 7, 5. 22-09-08 End of Month:- There is a new end of month report 'reprint' facility. Every report from every end of month is now saved and can be reprinted at any time in the future. The reports are saved in the format they were originally printed in, and will open with the print driver screen so you can select what printer to use to reprint them. There is also an extra report that is not printed, but is are now saved. This report is created when ASSET calculates your Sales Stock. The report will list all Sales Stock with values, and can now be reprinted. So now users will be able to print their Sales stock on hand for any month saved (if needed). See TAB, 4, 3. This does not replace the 'T' endmTh report button, but is more flexible as it includes the print driver for more printer selections. 22-09-08 Major Change:- A major re-write of 444 programs has now made it possible to include the Gutenberg print capabilities in every program. When anything is printed it should now display the 'Print driver' selection screen, and the Gutenberg printer options will be on the list. This means that there is now no requirement to have report printers and invoice printers of the old dot matrix type. Everything can be printed to laser. Reports are formatted so that they print in landscape mode (sideways) on a page. Even end of month reports can now all be printed to laser printers via the Gutenberg interface. Use the new printer setup utility (F8, E, 7, 5) to correctly change the control files in ASSET to use new printers. ### Due to the thousands of places where edits have been done, I need users to report ### any errors or print problems as soon as they occur. Every effort has been made to ### test all changes but there may be some that slip through. ### Your help and understanding would be greatly appreciated. 23-08-08 Spares:- Multi-order receiving. Features added to allow comments and prices (retail, list, trade, wsale) to be changed during modification. Also, if there is a problem part that generates a warning message, the message now includes the line item number that caused the warning. When it returns to the list, it automatically highlights the offending line. 18-08-08 Payroll:- The ability to calculate and deduct HELP Higher Education Loan Programme and SFSS Student Financial Supplement Scheme repayments from an employee's wages. If you have any employees who have indicated that they have such debts and need repayments taken out of their wage, you need to modify their payroll records with the new section added into payroll. Deductions are calculated and deductad with tax. 17-08-08 Spares:- Multi-Order receiving. A new feature added to the multi-order receiving system. A line has been added to the bottom of the screen which gives full details of each highlighted line in the order list box. Details include EXC cost, Qty reveived, EXC total, GST and line total. Hopefully this will make it easier to work out pricing for some suppliers with strange invoice printouts, and easily see if a line does not agree with the prices charged. 15-08-08 Spares:- Honda orders. Added a switch to send the order to Honda as a Stock or Daily order, no matter what the order type in ASSET is. If a Daily order is not urgent and you want to tell Honda it is a stock order to get an extra discount, this switch will format the order file as if it was a stock order request being sent. Remember if you modify the cost when receiving you will be changing the normal Daily cost. 14-08-08 Spares:- Yamaha orders. The ASSET system has been modified so that Yamaha orders when printed, will produce a file and send it to your PC. This file can be uploaded to Yamaha through the web. This should mean that there is no need to re-type every part number into the Yamaha web system every time you make an order. See the How-To:- "Spares - Yamaha setup for web orders" for full instructions. 12-08-08 ASSET Menu: New feature. Any time a user accidentally changes the size of the screen and cannot display the ASSET menu and some programs properly, the screen can be restored to normal by simply pressing X. This will run the 'SESSION MAXIMIZE' command. 12-08-08 G/L: New report. A new report has been added to the Financial Reports section. This utility will produce a spreadsheet containing every G/L code used within a single financial year, and list each period's total. The spreadsheet is then sent to your PC. See F1, 5, H. 08-08-08 Spares:- Honda orders. The ASSET system has been modified so that Honda orders when printed, will produce a file and send it to your PC. This file can be uploaded to Honda through the web. This should mean that there is no need to re-type every part number into the honda web system every time you make an order. See the How-To:- "Spares - Honda setup for web orders" for full instructions. 21-07-08 Printers:- New utility. A new setup utility is in place that will allow users to setup all default printers in all control files. Recent changes to hardware configurations brought about a realisation that changing default printers in all the different control files was a cumbersome task. This new utility will make changing default printer settings easy. Simply select the printer type and then select the printer to use and the job is done. See F8, E, 7, 5 or F8, C, 5. 18-07-08 Workshop:- New feature. When creating a new Workshop job, after entering the customer ID and order number, ASSET will present a list of previous workshop jobs and machine sales recorded against that customer. Users can select an entry from the list that corresponds to the new job details (if one exists) or enter on the top line to bypass this feature and proceed manually. If the make, model and serial number are recorded on a selection, these figures will be used for creating the new job. Hopefully this might go some way to keeping records more accurate and in line with each other. 06-07-08 Sales:- New Feature - A new feature to enable/disable the printing of delivery dockets when a Sales Invoice is printed or reprinted. See F4,3,8 or F8,E,4,3. Once enable, at the end of producing an invoice a choice box allows users to decide if a delivery docket is required. The delivery name and address can be changed for times when the delivery is to be made to a third party, or a different address than that recorded on a customer. 04-07-08 Sales:- New Report - There is a new report in Sales to display/print a list of current Sales Stock that was floorplanned and has been paid out in full. See F4, 4, 9. 03-07-08 Spares:- Supersessions - New Feature and utility. There is now the ability to see and select 'reverse supersessions' in ASSET, while in Invoicing and Parts Enquiry. Every time an Average Cost report (manually F2,5,2. or during the backup) runs it will update a data file containing a list of reverse supersessions for parts. Also ### there is a new utility (see F2, 2, F or TAB, 7, 6) to manually update a similar data file for all your masterfiles. If a part is entered on an invoice or displayed in parts enquiry, a 'flag' is highlighted indicated whether the part has reverse supersessions available. You can list the reverse supersessions, and if there is old stock, you can select and use this instead of ordering the newest part number. Normal 'forward' supersessions still work as they used to. 02-07-08 Spares:- Bin Locations - New utility to analyse your bin locations and report on any bins that have more than the allotted maximum count per bin. Any bins over the maximum can then be fixed automatically by this utility. See F2,7,2,7. 24-06-08 Spares:- Ordering - New Feature. Receiving Parts orders has been re-written. There is now a 'multi-part' receiving system. This system will present a list of all parts able to be received on an order, and allow users to modify features like pricing, quantity received, barcode, serial numbers etc. Lines on the list can be 'ticked or unticked' for receiving or not. Once modified (if necessary) the entire order can be received in a single stroke. See How-To 'Spares - Multi part receiving' for full instructions and explanation. Note that the 'old' one part at a time system is the default selection and still works exactly the same as before. The multi-part receiving system works with Daily and Stock orders. 23-06-08 Spares:- New report. A search/report facility has been added where users can search through a supplier (or all suppliers) for average costs that are above an entered value. This report will also list part numbers (in stock) with an average cost of zero. This might be useful for sites that have large discrepancies between G/L and parts totals that are caused by a large (and wrong) average cost value. See F2, 5, P. 19-06-08 Spares:- Quotes - New feature. In 'Reprint Quotes' there is now an added feature where users can do a detailed search to try and reduce the number of quotes that display in a list to choose from. It searches the customer's name, street, city account ID and the reference on the quote and produces a list of any matching quotes to choose from. See F2, 4, 2. 19-06-08 Spares:- Bin Report changed to allow for the printed report to only list part numbers in a bin location that ARE in stock (i.e: qty is not zero). Also now includes the Gutenberg print driver. See F2, 7, 2, 3. 17-06-08 Spares:- Interchangeable Parts list now include any quantities 'not yet received' on the LAST Stock Order, and the order number. The list is now in alphabetical order by SUP-PART NUMBER. 14-06-08 Spares Invoicing:- Additional feature. See entry 16-05-08 & 03-06-08 'Sell under cost & discount passwords', an extra feature has been implemented whereby a maximum discount OFF RETAIL can be set. If the 'No Under Cost' password is enabled either a minimum markup OR a maximum discount can be set and passworded so that sell prices cannot be below an allowable level. See F8, E, 2, C. 13-06-08 Stock Take: The Stock Take procedure has had the Gutenberg print driver included in it. This will allow for reports to be printed (or not) to any printer on the print driver list including any Gutenberg (printer 20, 21, 22,..etc) printer. The reports will print on A4 in landscape orientation in fonts small enough to fit all lines on the page. 13-06-08 There is a new How-To called 'Spares - Stock Take Procedure' to guide you through a Stock Take explaining each step of the process. 13-06-08 ### Disclaimer:- The new Gutenberg print style for invoices and orders includes ### ### a disclaimer that prints at the bottom of each page. The wording for this ### ### disclaimer is default as used by Dealquip, BUT CAN BE CHANGED. ### ### Users should carefully read this disclaimer, and if you do not agree with ### ### any of the wording, there is a utility that allows users to edit the ### ### disclaimer to suit their needs and requirements. See F2, 1, I ### ### No responsibility will be taken for any outcomes as a result of this disclaimer. 10-06-08 End Year: Utility to transfer a PDF version of the 0708 End of Year instructions from ASSET to your local windows PC, and open them in Adobe Reader. See F8, 2, F. 06-06-08 Suppliers: For sites that have a STAR thermal label printer there is a utility built into Supplier Maintenance that allows user to print a 'con' label addressed to the supplier in large print, for sticking onto parcels being returned to them. Press Shift-F6 at the supplier screen to print a label. Note that this feature has also been available in 'customers' for some time. 06-06-08 Sales/Workshop: Model Numbers have been increased to 12 characters. Most places in ASSET will display the full 12 characters. Some 'squeezing' of data was required in certain programs so there may be a few places where the full 12 characters could not be displayed but they should still contain 12 if needed. 06-06-08 Spares: New feature - Invoice printing. For those sites that are having problems printing Spares invoices with the new reduced print size that allows for 40 character descriptions and 25 character partnumbers, there is now an alternative. The print size is not reduced, but the description only prints 18 out of 40 characters. The new print type can be selected by doing a reprint (F2, 1, 3) and pressing F1 to select print style. It is option 5 on the list. 04-06-08 Payroll: New PAYG tax scales added for financial year 2008 - 2009. All wages processed after 01-07-2008 will use the new tax scales. 03-06-08 Spares: Invoicing - If retail price is less than GST inclusive sell price (i.e. if sell price has been increased) then the print program will add 10% to the INC sell price and print this as the retail, to indicate that retail is always at least the sell price or higher. Gives the impression that customers are getting a good deal. 03-06-08 Spares: Discounts - New feature to enable the use of a password when applying any additional discounts while processing a Spare's Invoice. Passwords can be enabled or disabled, so that when the "Discount Addition" option is used during an invoice the user must provide a password or it will be disallowed. See F8, E, 2, D to setup. 30-05-08 Spares: Stock Ordering - A new feature in Stock Order Generator that allows users to enter a number of months back to skip older parts. For suppliers that have yearly models or seasonal items, you can now enter a number of months that the program will use to check the age (how long you have stocked a part) and ignore parts aged older than the number of months you enter. 30-05-08 Spares: Stock Ordering - If a part is deleted from a Stock Order and the order number is the same as the number registered in the part, the last stock order number registered in the part is removed so as not to mistakenly record the part as still being on backorder. 16-05-08 Spares: Selling below cost - New feature. A new feature has been added to the spares invoicing program which allows users/managers to force the program to NOT ALLOW any part to be sold for less than either the Daily cost or Average cost, unless a password is entered. This feature is setup with the utility in F8, E, 2, C) and allows for any 5 letter password to be used. Once enable, the password is required to get in and change/disable the feature. Also this feature includes a setting for MINIMUM markup acceptable. By setting this amount as a percentage, sales that fall below the higher of the daily or average cost PLUS the minimum markup % will not be allowed. Setting it to zero disables this feature. Be Warned though:- Not allowing below cost sales will not stop staff selling at just above cost price. You still need to be vigilent. 11-05-08 Spares: Missed Sales - New feature. A new feature has been included so that every time a Spares Invoice/Enquiry is cancelled, ASSET MUST record it (as opposed to the current asking if it should be recorded). This feature will save the results for reporting/analysis in the missed sales section (F2, 5, E). It will also allow for a report of every missed/cancelled sale to be sent via e-mail to the manager. It highlights the fact that a cancelled sale is from a customer order pickup. This can highlight incidences of "no receipt wanted - I'll pocket the cash" and slow sales due to pricing or other factors that need to be addressed. See (F8, E, 2, B) to enable and setup e-mailing. Password protected with the daycode. 29-04-08 Print Spooler: Change to the Print Spooler utility. ASSET now displays the THEOS Corona Spooler Utility. Use this feature to view spooler status and kill printer entries to the spooler. 24-04-08 New Utility: Debtors: A new search/report function that allows users to report on debtors for any time the debtor file was saved (during a backup). Produces an Aged Debtors listing for that date, and creates a spreadsheet called 'KCARAGE.CSV' which it transfers to the user's terminal. See F10, 7, K. 22-04-08 New Utility: Creditors: A new search/report function that allows users to report on creditors for any time the creditor file was saved (during a backup). Selection can be all, only open invoices, only held invoices, only floorplan or all except floorplan. The report can be printed and a summarised spreadsheet called 'SUPLAGED.csv' is created and sent to users terminals. See INS, 5, B. 18-04-08 New feature: Workshop Kits & Minikits. Users can now include default labour amounts within a kit or minikit for creating or maintaining Workshop jobs. By entering the time (in hours) and the Rate (in dollars) inside specific characters, ASSET will bring up a window and ask for the mechanic's initials to allocate the labour to and automatically update the job with the labour charged. See the How-To "Workshop - Auto Labour adding by KITS" for full instructions. 09-04-08 New feature: Harley Davidson dealers who want to use the PAM search tools can now create and send the data file via e-mail directly to Harley. See F2, 7, E, 7. 20-03-08 New feature: Individual users can be setup with a default printer selection for the print driver selection box. This will override other defaults so that any user can have their 'usual' printer as the default selection when printing. This will save time by having your usual printer already selected and not having to scroll to it. There are two settings:- One for the default printer selection when the Gutenberg Option is not available and one for when Gutenberg is present. E.g. For times when there is no Gutenberg option use the 'to PC Browser', and when Gutenberg option is available use 'PRT20 Gutenb1". Use the 'Setup CONTROL.PID' utility. See F8, A. 20-03-08 New feature: Gutenberg printer can be setup as the default selection when the print driver selection box is displayed and there is a Gutenberg option available. See F8, C, 4. 12-03-08 Spares: Stock Orders - A new feature that allows users when they do a Stock Order generator and select 'N' to NOT skip backorders, to select only the last stock order a part was on, or all stock orders for the previous 6 months. This might save reordering stock that has been backordered for a couple of months or more. Note that to search backorders will take longer. 06-03-08 Upgrades: New utility that will transfer a PDF version of the Web -> Masterfile upgrade instructions to your PC and open the file in Adobe Reader. File has detailed picture instructions on performing the Masterfile upgrades in the new Corona System. See F8, 2, E. Note:- Designed to work on a terminal - not the main server. 05-03-08 Upgrades: New utility that will transfer a PDF version of the Web -> ASSET upgrade instructions to your PC and open the file in Adobe Reader. File has detailed picture instructions on performing the ASSET upgrades in the new Corona System. See F8, 2, D. Note:- Designed to work on a terminal - not the main server. 04-03-08 Printing: Enhanced the print driver in ASSET to better handle pages breaks so most printed material should print correctly within a page. 03-03-08 Spares: Ordering. Amount of part numbers that can be ordered on a single invoice increased from 10 to 98. An invoice can now be full (98 lines) and each line be an on-order part. 19-02-08 Spares: Ordering. Added ability to record manufacturer's barcode for a part at the point of receiving orders. 14-02-08 Spares: Invoicing. Spare Parts Kits can now hold up to 20 part numbers (up from the previous capacity of 10). Kit ID's can now be up to 25 characters. 08-02-08 Accounts: Statements. A new report that will print a list of any customer IDs and e-mail addresses that statements were sent via e-mail to. Handy to check that any customers setup for e-mailing statements were sent through ASSET. See F10, 7, J. 06-02-08 Sales: Invoicing. When a TRADE is taken on a Sales invoice, ASSET now asks if you want to apply a Credit Limit to the new stock code. Saves having to go into customers and modify the credit limit. 04-02-08 Spares: Invoicing. When a customer ID is entered on an invoice, ASSET will check to see if there are any notes or comments held for that customer, and display a choice box allowing users to display all notes and comments on the screen at the point of invoicing. The default is NO, just enter to proceed. 04-02-08 Spares: Spares invoicing. If a part number is entered or scanned and not found 'as is' ASSET will remove the last character and re-search. If this is not found ASSET will remove the last two characters and re-search. This may be handy for certain barcodes the use the last digit as a check number and not in the part number. It may also help when scanning barcodes (eg Yamaha) which are designed for different countries, where there may be an extra two digits on the barcode. Also, ASSET will trim all non numbers or letters in a barcode and search. This will help with genuine barcodes that can be full of "."s "/"s and "-"s. E.g "12345-678/AB\CD.E" will become "12345678ABCDE" 04-02-08 Customers: When creating a new customer ID with a pick ID from a list longer than 20 existing customers, ASSET will now search the existing customer list and display any 'near matches' in an attempt to reduce duplicating ID's for the same person. 30-01-08 Spares: Manufacturer's barcode will now return the part number in enquiries (F2, 2, 1) and File maintenance (F2, 7, 1) 30-01-08 Spares: Serial numbers - if more stock on hand than serial numbers on hand, a box will display allowing users to add the serial numbers of parts in stock, not already recorded. 30-01-08 Spares: Invoicing - Shift-F1 (sales history of a part) now displays quantities - Shift-F2 (order history of a part) now displays quantities New features in Corona version of ADVANCE ASSET General: *Screen size now 100x36 (old screen was 80x24) *Print driver has PDF converter option which creates a PDF document and sends it to a terminal *Print driver has 'View as printed' Screen option better than the existing 'to screen' *Print driver has Gutenberg printer option for printing formatted text to laser/bubble jet printers. The new system allows users to create RFCs for returning parts, and to complete the RFC when the credit note/stock/refund arrives. It will handle restocking fees, freight charges, refunds and replacement stock. There is also a search utility for finding RFCs by many different criteria. See F2, 7, 6 menu. Also there is a full How-To on using the new system in the How-To menu. See How-To "Spares - Return For Credit". 13-12-06 Spares Ordering: New Utility. There is now a 'Detailed Order Report' in Spares. It allows users to enter - start/end dates, Supplier code or all, substitute supplier or all, start/end order num or all, start/end part number or all, manual/customer or all orders, stock/daily or all orders, and a customer ID or all. The utility produces a short list which is displayed, that can take you to an order or print the list with more details. It also produces a spreadsheet file whith even more data on it which can be imported into Excel. See F2, 3, G. 11-12-06 Printing: New facility. There is now a control switch to enable/ disable the printing of the 'text' version of user's name and address when printing with 'Print to Browser'. For sites that have a graphic image they use for the header on these prints, it is not necessary (and a waste of space) to also print the name and address in text form. See F8, C, 3. to enable/disable. 08-12-06 Customers: New feature. There is now a new section in customer file maintenance where users can store up to 10 'sub-mailer' classes. The sub-mailers are a method of further refining the way that customer IDs are classified, to make mail outs as general as possible or as targetted as possible. The sub-mailers are now included in the Mailer search utility to allow a better use of the Maler codes associated with customers. See the How-To "Customers - Sub-Mailer". See F10, 8, C. for setting up the sub- mailer codes. There is room for 1000 different sub-mailers. 08-12-06 Customers: New feature. There is now a switch in customer file maintenance for 'dormant' accounts. I.e. those customer IDs that have been added over time, but who are not currently active. E.g. customers IDs over 2 years old who have not purchased from us in that time. This feature is included in the Mailer search program so that users can limit mailouts to 'active' accounts. 17-11-06 Banking: New Utility. Occassionally a 'ticked' entry in the cashdraw will fail to clear from the screen after banking. Previously these entries had to be deleted manually using the file utilities in F8. There is now a utility in Banking which allows users to delete entries from the cashdraw if they do not clear when the banking is ticked. BE WARNED - if entries are deleted which have not been ticked and banked, it will put things out of balance. If users need to manually delete entries which have not cleared, see F10, 3, 9. 07-11-06 Sublets: New Utility. It has been noted that rarely, a sublet and its details will unexpectedly delete from a workshop job. There is now a utility to quickly and easily replace the missing data. See F3, 6, 5. 02-11-06 G/L: New Utility. There is now a utility which spreads the budget for ALL G/L codes in the system. Using data from previously completed periods, this utility can produce averaged data for your P&L as budget figures. This is compared with actual results to give accurate users the ability to see how each month's figures compared to the averages. See F1, 7, E. 28-09-06 Accounts Payable;- New feature. It is now possible to setup the payment terms for individual suppliers, which will over-ride the default 30 day term for the due date when passing invoices for payment. Terms can be a set number of days OR E and number of days for month end +days. E.g if terms are 20 days after month end use E20. If your terms are a 7 day account simply put 7. See Suppliers, B for Banking, Payment terms. 11-09-06 Sales:- New utility. Users may now add their Bank Deposit details onto Sales invoices to accommodate those customers who pay via direct deposit. See F4, 3, 7 25-08-06 Debtors:- New utility. Users who use the fax statement facility can now turn ALL messages either on or off. See F10, 8, B. 16-08-06 Sales:- New Feature. There is now a Location field available for Sales Stock Codes. This is linked to the transfer request system (see below) but can be used manually to set the locations of stock machines. eg if they are sent to auctions etc. to records where they are. In F4, 1, 1 Maintain Sales, use the H = Help option and a L-Location can be setup. 15-08-06 Sales:- New Utility. There is now a utility to create and save requests for transfer stock machines. Enter details of who and what with dates etc. Save, print and search requests. Once the Confirm date is in place, no frther changes can be made. See F4, 1, D. 28-07-06 Spares:- New Utility. Users can now print (or not) a Detailed Invoice report and at the same time create a spreadsheet of the report for exporting to Windows. This utility allows for the same powerful searches as the ordinary Detailed Invoice Report but it produces a 'CSV' file called SCPRTDTL.CSV which can be transferred to Windows and opens up straight into Excel. See F2, 1, H 28-07-06 Workshop:- New Utility. Users can now Add/Edit a 3 line message which will print at the bottom of Workshop Job Invoices. See F3, 1, A. 24-07-06 Sales:- Quoting. A report now exists to print a list of quotes done for Sales. Enter a salesperson or * for all and a start and end date. 20-07-06 Spares:- New system. A new system has been introduced for sites that may have two or more branch offices running from the single mainserver ASSET computer. This is an Inter-Branch Parts transfer for sending parts internally from one branch to another. For those sites running as two separate businesses, it is still better to order and sell the parts to the other branch. 18-07-06 Sublets:- New Utility to quickly view any sublet order with all details. No values can be changed, it is simply to quickly view a sublet if the number is known. Saves searching etc, or rewriting a sublet just to see the details. See F3, 6, 4. 12-07-06 Spares:- New Utility to report on customer's orders, where complete or not. In other words a way of reporting every customer order placed by one/all customers from a start date to an end date. Useful for keep track of orders or helping your customers keep track of their's. 12-07-06 General:- A new utility - Customer Call Diary - has been developed. See F2, F. This is a call/Contacts diary entry system where any salesperson can enter details of customer contacts made. There is space for all sorts of deails, and a search routine so that sales prospecting can be analysed for common faults or problems. 04-07-06 Spares:- New Utility. A new Appliance (non-stock item) quoting system has been added. The system allow for up to 8 part numbers with three lines (of 30 characters) of descriptions to be placed onto a quote. Handy for non-stock items, or where a Spare's quote might confuse customers when parts need to be ordered. It was developed for Dealquip's appliance section for quoting appliances and combinations of items in kit forms. 28-06-06 G/L:- New Utility. A new utility which allows users to fix 'Blank G/L Code' errors in a G/L period is available. Occasionally an error may occur where an entry in the General Ledger is written without a G/L code associated with it. This can now be fixed by using the GL Blank utility. See F1, 7, D. 07-06-06 Payroll:- Changes have been made to take into account the new Workplace laws AND the upcoming tax changes due after the 01-07-06. No change is necessary to the way you have been processing wages. All dated changes will take effect automatically when they are due. 06-06-06 Customers:- A change has been made in the "Show Transactions" screen. There is now a timer (60 seconds) which will close this screen if there is no keyboard activity for 60 seconds. This is because when this screen is open it can stop access to the cashdraw and banking system, and it was found that this screen was being left open for extended periods of time. 06-06-06 Rental:- New System. A completely new Rental Management system has been introduced to allow much quicker, easier controlling of a rental fleet. It is based around three main areas:- Rental Fleet Units, Rental Fleet Customers and Rental Fleet Agreements. The Rental menu has been redesigned to incorporate the changes. 25-05-06 Sales:- New report. A new report to produce a sales report for all salesperson number summarised individually, from a start date to an end date. See F4, 4, 8. 05-05-06 Workshop:- New feature. When Modifying a Workshop job, the description (all 24 possible lines) now displays within a full screen window. This means that you can see and read the full description. Also, the new mini-kit system is in the modify existing job description. Now you can insert mini kits into the description of an existing job. Note the bottom left corner, it has INSERT or OVRTYPE indicating what type mode is active for a line. Also note that inserting a mini kit overtypes what is on a line. 02-05-06 Workshop:- New feature. When creating a new workshop job, there is now a 'Mini Kit' facility that allows users to select and enter multiple mini description kits. This allows the creation of a job description based on one or many short terms or sentences. Press when in description to use the Mini Kit system. See the How To 'Workshop - Mini Kits'. 23-04-06 Spares Orders:- New feature. If ordering is set up for the customer call facility, a new report is printable when receiving orders to print a list of parts received for customers, with details of names addresses and phone numbers. To enable the customer call facility see the How-To 'Spares Customer Phone List'. 20-04-06 Spares:- New feature. In Parts Enquiry (F2,2,1) there is now a new Order search. Entering 'O' (O for Orange) will search the order file for every order for the part displayed. This is different to the Shift-F1 order search, as it will search all orders (printed or not) and list then in newest to oldest order. The list may be printed by entering on the last line. 20-04-06 Spares:- New feature. In Parts Enquiry (F2,2,1) there is now a way to associate parts with model numbers (or other part numbers), or to associate models with part numbers. See How-to 'Spares Parts suit models'. 20-04-06 A/P:- New utilities (INS,5,8 & INS,5,9) to export Spares sales and purchases to a MYOB compatible spreadsheet. 23-03-06 Spares:- New feature of Customer Reward Scheme. Users can now add a customer code and enable them with a starting points value. E.g. a customer who buys a sales machine may be put into the rewards scheme with a starting value based on the price of the machine. Also the 'print receipt and clear rewards' should now use the correct value. 13-03-06 Sales:- Invoice comments are now saved and will be printed on any print/reprint of a sales invoice. 13-03-06 Spares:- Credit note comments are now saved and will be printed on any print/reprint of a credit note. 10-03-06 Workshop:- New report. Labour charged to jobs between a start and end date. See F3, 3, C 10-03-06 Workshop:- New report. Labour charged to Sales Stock between a start date and end date. See F3, 3, D 10-03-06 Sales:- New Feature. Sales Orders now have a customer ID facility so that Stock may be ordered for a customer. The customer code will be attached to the order and stock receival, so that it will be easier to keep a track on who a machine was ordered for. There is a utility in F4, 2, 6 to add/remove/modify customer ID's on orders and stock codes. See How-To "Sales - Customer Orders". 02-02-06 Spares:- New report. A spreadsheet file is produced from the Detailed invoice report consisting of part sales & customer IDs. Manipulate the data in a spreadsheet once transferred. The file name is SCPRTDTL.CSV . See F2, 1, H. 11-11-05 Spares:- New feature. In Stock Enquiry (F2, 2, 1) there is a new facility to keep extra information about a part number. Press F2 and a screen with up to 4 lines of information can be edited and saved. A message displays above the part number to let you know that there is more info available for a part. 27-10-05 Spares:- When a credit card surcharge is added to an invoice (use Discount before complete, and add -discount {minus discount}) a comment is now added to the invoice stating a surcharge of x% for credit card usage has been applied. 14-10-05 Workshop:- If you have any customers that have a workshop job Sundries default amount that is not the same as the normal default Sundries amount, there is now a way to save the alternate Sundries amount for each customer. Go into customers (F7), enter the customer ID, press F1 to adjust, enter L for Labour rates. There you will find an extra field for the default Sundry amount for that customer. Entering any value, other than 0 (zero) will cause the job creation program to use that figure instead of the normal default. 06-10-05 Spares:- New Report which allows users to compare the sales of parts from a single supplier, for a single month, between two years. E.g. If you wanted to compare the sales for supplier ABC in month 9 (September) between years 2004 and 2005, and have a list of all customers with their sales and profit totals, this is it. See F2, 5, L 08-09-05 Accounts Payable:- The Aged Vendor List program has been enhanced. As well as producing the normal detailed list on screen, which can be printed, it now produces a Spreadsheet file called SUPLAGED.CSV which has summary lines for each supplier. Transfer the file SUPLAGD.CSV to Windows and open it in Excel. See , 5, 5. 30-08-05 Sales:- Passing for payment. If the prices on an order are wrong and you go into the modify screen as normal, then get back to the front screen, there will be NO option to go back and modify further. If the prices are still wrong after modifying once, you will have to exit the passing program and start again. This is because continual modifying was accumulating the "STOCK REC ERROR" journal which is done to balance the G/L, and putting the stock out of balance. 15-07-05 Sales Deposits:- Receipts are now saved and can be reprinted. See Option 9 in Sales Deposit utility. 13-07-05 Spares:- New utility to calculate the value of spare parts stock received from one date to another. See F2, 3, F. 06-07-05 Spares:- Label printing when receiving parts: The feature which allows for the On Hand quantity to print on labels has been modified. You can now choose either On Hand quantity OR Received quantity to print OR neither. See F2, 3, A to enable/disable. 23-06-05 Payroll:- New Tax Scale. As from 01-07-2005 the payroll system will use the tax rates and formulas as set out in the Tax Office document NAT1004A-5.2005. 21-06-05 Sales:- New feature. When doing a search through F4, 1, 1. the system now displays an extra option when you pick a stock code from the list. 'B = Back to search' displays. By entering B you will be taken back into the search list, at the line after the last item selected. 21-06-05 Customers:- New feature/utility. The search sales (?) when in ### customer display should now be very fast. There is a new utility ### which will run during every backup, which updates a history data ### file containing every customer's Sales and Workshop jobs invoices. ### This utility may be run manually (should be done after the update ### for the first time) by using F10, 8, A. 16-06-05 Spares Sales:- New utility which compares the part sales from one supplier for one financial year against another. It produces a comma delimited CSV file called SCFINCOM.CSV which can be transferred to Windows and opened in a spreadsheet program. It list each part sold with monthly comparisons between the two financial years entered. See F2, 2, D. 25-05-05 Spares Orders:- If there has been any notes associated with a part on an order, those notes will now display on the screen when receiving that part. Notes are applied through adjust orders or at time of invoice/ordering. 05-05-05 Audit:- A change to the Audit Report. A new field "F/P Unclaimed" has been added next to the Creditors GL PD Breakup. This field will display the GST which is available to be claimed when all Floor Planned Stock is paid for. REASON:- The GST on Floor Plans (Bailments) is calculated at the time the Bailment is entered into the system (i.e. It goes into the G/L and into the GST file). BUT because GST is NOT CLAIMABLE until the Bailment is paid out, this has been making the G/L and GST files not match. Now, this entry should explain the difference between the Tax Total and the GST Owed fields. In the Audit report -Out of Balance utility (F1, 5, C) this figure is used with the G/L figure to compare with the GST file figure. 21-04-05 Spares Menu:- A change to the Utilities Menu F2, 7. This menu was getting very long, so I have reorganised it. There are now several submenus from this menu. Sorry if it makes it a little harder, but more and mode utilities are being requested. 21-04-05 Spares:- Yamaha dealers. A new utility for creating and exporting a special file which will integrate with the YDC system for exporting a list of dead stock. See the circular sent to dealers by Yamaha. See F2, 7, E, 4. 14-04-05 Banking:- New utility. From this update (Apr 2005) the sheets printed when money is applied to accounts through banking, will be saved (just like the deposit slips). This new utility will search these saved banking sheets for a single customer ID and report on every cheque, D/D, cash, EFTPOS etc. payment that customer has made with date, reference, amount on printout. 11-04-05 Major Update:- Changes to many programs in ASSET, mostly in Workshop and Sales. For a full list of changes and enhancements see the How-to:- Updates - April 2005. 01-04-05 Spares - Discounts: A new feature for setting different discounts for a customer on up to nine suppliers, and applying a fixed discount for all other suppliers when invoiced to a customer. Set up the discounts for a customer using either a + or - only. This will enable the grid system of up to 10 suppliers having different discounts. NOW if the 10th supplier code is set to *** (three asterisks), ALL SUPPLIER CODES which DO NOT appear in positions 1 through 9 will be discounted by the 10th position setting. E.g customer ABC001 gets -15% on HND parts, and -20% on SUZ parts, and -8% on all other suppliers. Setup the grid as:- 1 2 3 4 5 6 7 8 9 10 Supplier HND SUZ *** Discount -15 -20 -8 01-04-05 Accounts Payable: New Utility. In A/P (INS, 4, 6) there is now a utility which will list all saved Direct Deposit (last 500) remittance advices. Highlight a line a to view or print a copy of any saved remittance advice. 09-03-05 Accounts Payable: New Utility. In A/P (INS, 5, 7) there is now a utility which will list/print those Sales Units recorded as being still on Bailment (Floorplan) BUT which are no longer in stock. Should make it easy to check what is due to be paid, and how much, on sold stock. 09-03-05 Sales/Workshop: New utility. Users may now keep track of Sales Stock Units which are in the Workshop as Work In Progress. E.g. a trade being done up. See F4, 1, C to tick or untick units, or print a report. This utility can also be entered into the daily backup reports to print out as well as the normal WIP report. (Ring Kev Day for instructions) 01-02-05 New Utility: Spares - Clean up History and Pricing numbers. Occasionally a part number will get a history value which is larger than 1000 in a month, or a price that is a fractional number. This can make printing reports or adjusting orders difficult as these number will not fit into the space allocated. A new utility will go through every part and correct this problem. See F2, 7, L. 16-02-05 New Utility: Spares - Searching for a customers order number. If you ever need to search through the invoice file to find any invoices done using a particular customer order number, there is now a utility which will list them. See F2, 1, F. 16-02-05 New Feature: Spare Parts Reward Scheme. There is a new feature in Spares which will allow you to keep track of customer's purchases as reward points towards some form of incentive. If enable, the scheme will accumulate spares and accessory sales to customers. Depending on how it is set up, you can offer your customers an incentive scheme to keep them buying from you. See F2, 8, F for the setup and reporting utility. (Thanks Col Thomas). To enter the Sign-on section press -. Select your name and whether coming in or going out. The time will be recorded for you. Enter on the first line to add new staff member names. A report facility F11, E. lets you print out times from dates to dates and adds up the hours for each staff member. 25-01-05 Spares:- New utility in F2, 8, E. Allows users to save up to 3 lines of default delivery instructions for a customer, which will print on Packing Slips. Saves having to type the same instructions every time. Can be typed over if needed. 18-01-05 New Utility:- Pressing from the main ASSET menu will bring up a Staff Locater utility. This can have staff members names entered into it, and the status of any person (In or Out) can be quickly and easily updated. Should be handy for sites in larger or multiple buildings for letting others know of people's status. 13-01-05 Spares Invoicing:- A new utility exits which allows users to save 4 lines of notes regarding freight instructions for each customer. If a customer has left instructions on how goods should be delivered (eg their courier and account number), you can write a note for this customer code which will pop-up when you get to the freight charge field when invoicing. See F2, 8, D. 08-12-04 Sales:- New Quoting program. F4, 8. A new utility to prepare Sales quotes. These may be saved, reprinted, modified, deleted. A store of options, accessories, headers and footers can be created so that future quotes become easier to create. See How-To: Sales - Quoting. 03-12-04 Spares Invoicing:- A new utility which will tidy up some of the ### data files is available. See F2, 1, E. A reminder will appear when ### a spares invoice is done until this utility has been run. It should ### only need to be run once. Once run, it will make backing up quicker ### and printing & reprinting invoices faster. 29-11-04 Spares:- Invoice printing. If 'Packing Slip Only' or 'Invoice AND Packing Slip' is selected during printing, a window displays which will allow for the name and address on the Packing Slip to be changed. Often merchandise is invoiced to one customer for delivery to another site. This will allow for changing the address ONLY on the Packing/Delivery Slip. Also allows for an extra three lines of delivery instructions to be printed on the Packing Slip. 05-11-04 Customers:- In - transaction display, if a Spares or Rental Credit note is highlighted, you now have the option of viewing/printing the invoice OR the credit note. 29-10-04 Spares:- New report. Parts sales report for up to 20 suppliers selected from date to date. Similar to Branch Parts Sales report except it only uses the suppliers specified. See F2, 5, K. 25-10-40 Sales:- In Machine Maintenance (F4, 1, 1) when the parts (F5) or Sublets (F6) are listed, there is now an extra line at the bottom of the list which allows users to print the list. 07-10-04 Spares Picking System:- Pick lists are now saved. You may reprint a saved Picking Slip from the menu. See F2, B, 9. 05-10-04 Spares Ordering:- New feature. There is now a facility to record customer details against part numbers, where the customer has indicated they require the part when stock arrives BUT where there has not been an 'on-order invoice' done. In F2, 2, 1 "Stock Enquiry" F6 now displays 'Outside Orders'. Add/Modify/Delete records of customers waiting on stock. You can invoice directly from this screen When this part is received on an order for Manual or Stock order, a reminder screen will display. F2, 2, C lets users display or print what parts have outside orders waiting. Adjust 'N'ext supplier's order will check to see if there are any pending 'Outside Orders' and display a reminder of what is pending and not ordered through on-order invoicing. See How-To: Spares Outside Orders. 01-10-04 Spares:- Change to Detailed Invoice Report. Report type '1' will now list the Retail Price, and the discount which the sell price was given, at the beginning of each parts line. Will allow managers to quickly see what sort of discounts are be given out. 29-09-04 Spares:- New Report which lists parts which have less than the minimum qty on hand, for up to 20 selected suppliers. The report can be run from the menu, or inserted into the backup to report each day. See F2, 5, J for the report. See F2, 7, K for setting the suppliers to include in the check. 29-09-04 Spares:- Picking Lists. A new utility to create or edit a 5 line message that will print at the bottom of Picking Lists. See F2, B, 8. 29-09-04 Spares:- Picking System. New Utility to print out a Customer Picked Stock Checklist. If you uses the picking system for controlling consignment stock to customers, this is a good way to send them a count sheet to check what needs to be invoiced. See F2, B, 7 14-09-04 Spares:- New utility. Produce a report & spreadsheet file of all customers who have purchased parts from up to 10 individual suppliers from a start date to an end date. Print Summary - only customer details, OR Detailed - customer details and all invoice details. See F2, 1, D. 08-09-04 Customers:- '?' Sales Search has been modified. It will now ask you for a length of time to go back (12 mth, 2 yr, 3 yr, all). It then searches the invoice files for each line (up to the time selected) and displays the list in most recent to oldest order. This is very accurate and by selecting a time frame much quicker than before, when it searched every invoice. 30-08-04 Postcodes:- A new search utility which allows users to enter a name and search for a postcode, OR enter a postcode and search for names. SEE Main utils , F, 4. 25-08-04 ASSET MENU:- Slight change to ASSET menu. In the centre of the menu you will see a message indicating how many users (other than the main PC) are running. Before re-booting check this message. If you need to view the user list and see what program each session is running currently, press the key. If any user is not at the ASSET menu, they should be checked before re-booting. The list is updated every 10 seconds so you see an accurate picture of who is doing what. 24-08-04 GST:- The GST Pay ATO program has been changed. All entries that it used to skip (internal & notype) are now removed along with all correct entries, and stored in the payment file for that date. This will mean that instead of the collection file getting larger and larger, it will now only contain the entries which are still current and unpaid. 18-08-04 CRITICAL UPDATE:- Because of the changes to the print driver, the ### web update program had to be enhanced. You MUST have done the ### download and upgrade of the WEBUPDAT program before any new 30,60,90 ### day downloads. If not they will not have worked properly. See the ### information on the web site. 18-08-04 Print Driver:- The print driver (list of printers to select from) has been modified. The E-MAIL option will now work for those sites who have THEO+NET installed and the E-mail setup. If an e-mail address is blank, the program will ask for the recipient address. If the sender address is blank, the program will ask for that to. If CONTROL.PID is set up correctly, the sender's address will be obtained automatically. See the how to on setting up CONTROL.PID. 11-08-04 Invoicing:- There is a new utility that can search through the cash sales file to find and list/display invoices whose customers match the search text. See F2, 1, C. 28-07-04 Banking:- The 'Cancel Bank Transaction' program has been rewritten. When money is applied to an account (F10,1,1), it is held in a temporary holding file until the 'TOT' entry is done. Until 'TOT'ing, these temporary entries (except UAC) can be deleted in case of a mistake on entering. F10, 1, 4 'Cancel Bank Transaction' will now list the contents of the temporary holding file, and allow users to delete entries. Note that once deleted, the entries will not be applied to an account, and MUST be re-entered correctly through F10,1,1. Note also that deleted entries are recorded for future reference. 22-07-04 W/S Jobs:- The print driver is now in 'Create New Job' so that users can select whether to print a job sheet or not, and to which printer. Some spacing changes have been made to make job sheets easier to read. ### If the jobsheet runs over a single page, you may have to adjust the ### the 'Lines to Skip' value in CONTROL.MEDATA 25-06-04 Wages:- The new tax rates applying to year 2004-05 are now installed Up until the 30-06-2004 the old rates apply. After 01-07-2004 the new rates apply automatically. 21-04-04 How-To's:- There is a new utility for searching How-To files for a Key Word or Phrase. E.g. if you wanted to find any How-To which included the phrase "BACK ORDER", you would enter that phrase into the search and a list of all How-To's with a match would display. Each entry on the list can be displayed or printed, and then you return to the list. See H How-To button, entry 4 "SEARCH" 17-03-04 Sales:- A possible problem has been identified if the customer ID on a Sales Invoice is changed. Because GST claims on trade-ins are calculated based on the ABN of the customer who takes delivery, changing that customer at the end of invoicing could mean that GST would be calculated wrongly. From now on, the customer ID used to get into sales invoicing MUST be the ID which takes delivery or who is trading. If the ABN or ID is changed, a warning is displayed and the invoice will have to be re-entered. Please choose carefully. The Finance ID (first ID selected when invoicing) can be changed to any customer (or left the same) without affecting GST. 17-03-04 Customers:- When F10 (sales invoicing) is selected from within the customer display, a warning box displays emphasising the need to ensure that the customer selected will be the person who takes delivery, or from whom you will be trading. The possible GST implications are that a claim will be made at the time of invoicing, instead of when the trade is sold. 10-03-04 Menu:- Due to the increasing number of Debtor utilities, I have re-arranged the debtors menu into two groups. They are Debtors - Search Utils and Debtors - Setup utils. See F10, 7 & F10, 8. 10-03-04 Debtors:- New utility to search debtors for an amount. search will find a value (within +- 20c) for a single entry, a total balance, or a 30, 60, 90, current, UAC balance. See F10, 7, 4 04-03-04 Banking: Reprint banking reports program re-written. Now lists every day when banking was done. Select a day, and a list of all banking reports for that day is displayed. Print or display the report, then return to list for other selection. No more having to go back in after each view and remember where you were up to. 03-03-04 GST: A new utility which can reproduce the BAS report for any saved payment. A payment is saved when the 'Pay GST to ATO' function is used. Unlike the 'Report on Paid" function, this utility uses the actual entries saved for a payment, no matter what period they were originally entered. This should be handy for sites using floorplan as many floorplan inputs are from entries months prior to being able to claim them. 13-02-04 A/P: When a purchase is done through A/P, it will now check the invoice date to make sure it is in the current financial year. If not it will warn you, as this will put the G/L out of balance. 13-02-04 Spares:- Picking Slip will now print the comments that were put into the invoicing section. The comments are printed, but not saved into the Picking System. 29-01-04 Sales Invoicing:- New utility. When a sales invoice is done using a finance company ID (first id on invoice), it has been hard to keep track of the invoices waiting to be paid. There is now a utility (F4, 4, 7) which can search the debtor files for sales invoices which were done to a finance company and are still yet to be paid and list/print them. (See How-To: Sales Finance outstanding). 22-01-04 Spares Quotes:- The Delete Quotes program has been updated. It is now possible to 'tick' all unwanted quotes on file and delete the ticked quotes all at once. Should make keeping the quote file tidy, much easier. See F2, 4, 3. 21-01-04 Cheques/Direct deposits:- If a cheque is drawn to pay floorplan, the trust receipt number will print on the remittance. 21-01-04 Floorplan:- When passing a sales unit to floorplan, it now asks for the Invoice Date & Due Date. By default it uses current date and plus 90 days for due date. 09-01-04 Payroll:- New utility that allows users to reprint any pay slip for an individual employee. Select employee from the list, then select the date of the pay slip to reprint. See F11, C. 08-01-04 A/P:- change to due date utility (see 11-12-03 below). Now asks for type (A O F H) and Supplier and Date range to display. See INS, 5, 6. 06-01-04 A/P:- Hold & Release - Print List now has the print driver feature installed. The list also now includes invoice totals and a line seperating each new invoice number. 17-12-03 P&L:- New How-To explaining control record setup and modification. Changes to record control program making it much easier to setup or modify the P&L control file and report printout. See HowTo P&L 11-12-03 Financial:- New utility to analyse the costs breakdown of the Rental Department based on the Charges Report figures. See F1, 5, D 11-12-03 Payments:- New utility to break up the creditors invoices into due now, due within 7 days, due within 30 days, due within 60 days, due within 90 days, and the rest. Invoices can be listed by All, only Floorplan, only Held or only Open. Floorplan invoices go by due date OR if the unit has been sold. See INS, 5, 6 10-12-03 Sales:- The search in F4,1,1 now prints the date received and number of days an item has been in stock if 'S' is selected for the search. 10-12-03 Sales:- Stock Sales report F4,4,1 now prints the number of days a unit was in stock for, as at the date it was sold. 25-11-03 Spares Invoices: A new utility for those sites who have rolled the Spares invoice numbers over after reaching 99,999. The utility will search the invoice transaction file for old records which do not relate to the current invoice number, and remove them. See F2, 1, B. 24-11-03 Spares Quotes:- New feature. There is now a utility to edit/create a 5 line message that will print on quotes (instead of the Invoice message). Use it to list any features, limitations on the quotes printed through spares. See F2, 4, 4. 21-11-03 Customers. The new display of customer transactions (shift-F1) has had the ability to "tick" items for adding to the Kill list by highlighting the line and pressing F11. This should make the process much quicker. 11-11-03 Sales:- Machine Maintenance. pressing F5 to display parts booked to a machine, now also checks the order file to see if there are any parts still on order, or not booked to a unit. In searching, you can now use a ? as a wildcard in the search string. E.g. HND???123 will search for any occurence of HND and any three characters followed by 123, such as HNDxxx123 or HNDabc123 etc. The ? wildcard must be inside the search text, and can only be used once. E.g. HND???123?XYZ is invalid. 17-10-03 Spares Orders:- New report utility. F2, 3, E. Report on orders from start to end date. On all/customer/daily/stock/manual orders.For all customers/only jobs/only sales/single customer. All suppliers or a single supplier. Lists results with totals, which can be printed. Handy for analysing sales/purchases etc. 07-10-03 Customers: Rewrite of customer maintenance program. Updated features current invoices - now in a choice box. Scroll up or down the list. Enter on item for options. Modify invoice number can be used on UAC entries to apply money. display payments in choice box. Scroll up or down. Enter on line to display/reprint invoices. search - can now search all (*) customers OR just in one Pick ID When a customer is selected from the search list, an option 'B' for 'Back to search list' appears. You may go back and forward from the search list checking each customer. Saves having to re-search all over again. 07-10-03 Debtors: Reprint statements (F10, 7, 7). Those sites with THEO-FAX now have the option to disable automatic faxing of statements to any customer set up with 'Fax statements = Y'. This will allow reprints to print to a printer and not auto fax. Does not change the fax status for normal EOM statements. 07-10-03 Debtors: Statement messages (F10, 7, 9) to reduce search times you can now enter the Pick ID (first three letters) at the customer ID search, and a list of all customers with that Pick ID will appear for selection. 25-09-03 Spares: New report for invoices sold to W/S. You may specify the start/end dates, start/end invoice numbers, job type/all, customer id/all, supplier/all, salesperson/all. See F2, 5, I. 18-09-03 G/L: Revised utility to check for missing entries in the General Ledger. Checks the history file against the current G/L and displays a list of entries not found. Can then replace them into the G/L file. See F1, 7, C. Note: Use with Extreme caution. 11-09-03 GST. New utility to list all entries existing in the GST file for a particular date. Useful if trying to track down GST going out of balance. See Main, I, E. 11-09-03 Customers. When a customer type (1 to 7) is changed, the system now records the changed type and date. There is a new utility to list/print changes made. See F10, 7, L. 29-08-03 Spares:- New Feature. When invoicing, at the Sell price field, you can now press F10 to display a sales history for that part number & supplier. 22-08-03 Spares:- New report. With the advent of W/S Job types, there is now a report in Spares to list/print parts sold to jobs by Job Type. The report allows for one/all job types, start date, end date, start invoice, end invoice, one/all suppliers, one/all part nums. See F2, 5, H. 20-08-03 Picking system:- New utility. To print a complete history of all transactions which occured in the picking system between a start & end date. See F2, B, 6. 20-08-03 Picking System:- New utility. For those sites who have the picking system record all transactions, there is a new utility which can display/print all occurrences where a part has been 'picked' out of the picking system and 'cancelled' back into parts stock. See F2, B, 5. 18-08-03 G/L:- New utility to quickly analyse the Audit Report and display a printable list of those codes which are out of balance. See F1, 5, C. 14-08-03 Spares:- New utility to display/print a list of the top selling parts for a supplier code. Select from 1 to 12 months, and from 50 to 500 parts to list. See F2, 2, B. 12-08-03 Workshop:- For those sites who use Job Types (see Note 28-07-03), There is now a sales report where a Job Type is specified. The report will only list those jobs that match that category. NOTE the report will also list Restructures. You can subtract (or add) this figure to get only the sales results. See F3, 9. 11-08-03 Spares :- Passing for payment now allows for invoice date & due date to be entered, so that hold and release will be correct. 11-08-03 Spares Orders:- When a supplier code is entered into Adjust Orders the received date now displays. 'No-date' indicates not yet rec'd. 11-08-03 Workshop:- Labour display in jobs now lists total number of hours booked to jobs. 04-08-03 Spares Invoicing:- New feature when printing/reprinting invoices to print invoice &/or Packing slip for shipment of goods. Packing slip has no pricing. 31-07-03 Spares/Suppliers:- A new feature in suppliers which allows users to enable/disable the ability for parts to be placed onto daily orders for individual suppliers. In the case of overseas or infrequent suppliers, you may want to limit the ability for the invoice program to add parts to a daily order. If so, go to the 'C'onfigure option in suppliers and enter through to the comments. A window will display with the option to stop daily ordering. 30-07-03 Spares:- Gift certificates. A new utility to allow users to alter the description of a gift certificate that is printed on the invoice. Note users who change the description take responsibility for the wording they use. See F2, 9, 4. 30-07-03 Spares:- New report. A new report to list/print the movement (sales) of parts for month to date AND last 12 months now exists. It is an extension of the current 'Parts by movement/writedown' program. See F2, 5, 3. Select report number 5 for last years sales. 28-07-03 Workshop:- New Utility to setup up to 10 job categories. (eg Honda warranty, Suz warranty etc.) When a job is created, you get the option to select a 'type'. Then in Job Maintenance 'Collect Types' will group all similar type jobs. See F3, 1, 9 to setup types. 17-07-03 THEOS Utils:- There is a new version of the 'Restart Users' utility F8, 3, 1 will list all users currently active and allow you to try to FORCE LOGOFF user# and then STOP user#. If the user can be forced, this will stop them and allow the users to reconnect. 11-07-03 File Tidy:- There is a new utility in F8, 2, B which will quickly erase some of the many unnecessary files that can build up over time. 07-07-03 Messages:- The messaging system has been re-written. It is now possible to write a message to any user on the ASSET system. When a new message is received, a warning window will keep appearing until the message is viewed. The system uses the setup of users in CONTROL.PID control file. If this is set up properly, a list of all users (with those "online" shown) is displayed. See the How-To: Using Message system - for usage rules. See the How-To: Setting up CONTROL.PID - for setting up users. See the How-To: Editor - Quick guide - for using the editor. 01-07-03 Wages:- Income tax rates have changed (as per government legisl'n) Setup employee records has changed. There is now a new addition/ deduction type called T+. This is for Tool Allowance. It will include the tool allowance in the super calculation, and will print "Tool Allowance" on reports and payslips. It is saved in the G/L with a reference of "ADDTOOL" so it can be searched. 03-06-03 Spares:- Invoice/ordering. A new feature which can be enabled or disabled, which allows users to add notes on the order, when parts are added to an order through invoicing. See F2, 3, D. 23-05-03 Sublets:- Searching. The search sublets program has been revised. You can now use it to find sublets that have not yet been received. If there is no invoice number & no packing slip number, the program assumes that the sublet is still outstanding. See F3, 6, 3. 22-05-03 Workshop:- Maintaining. The list of Jobs in progress shown at the start of the Maintenance screen now includes the Model. Also the bottom line of the screen gives more details about the job number highlighted in the choice box. It should make it easier to find jobs by having more than just the number & name displayed. 22-05-03 Layby:- A new utility (F2, 2, A) to set the default Layby Account ID. When enabled, the spares invoicing and displaying programs will check for parts on layby and display the total (if any). 19-05-03 Debtors:- Statements. For sites who use the customer picking system, there is now the ability to print a list of parts held in Pick, ON the EOM statement. To enable the printing of picked parts on the statement, use F10, 7, K. 17-05-03 Spares:- Customer backorders. The backorder search/print program has been enhanced. It is MUCH quicker. It can also now report on a single customer, all customers, only workshop jobs, or only sales units. It can also search for only orders not yet received or all orders (received or not) and not yet picked up. See F2, 8, 5. 16-05-03 Spares:- Docket printing. The docket printing program now uses a file called "help.asset.docdec" to add an extra message to the bottom of an invoice. Users may edit this file to make up their own message, or erase the lines to have no extra message. 13-05-03 Sales:- The ability to add a loading to the cost price of Sales stock has been enhanced so that the default loading on indivual items can be varied. Run the Enable loading program and select I for individual pricing. The default amount applies UNLESS a different value has been setup. 08-03-03 Workshop:- Invoicing. When a job is to be invoiced, backorders & sublets were checked. It may have meant that the job could only be reported on. NOW it also checks to see if there are any parts in the picking system. Also, if a job cannot be invoiced there is a menu selection on the report menu for listing the reasons why. This may help make determining why jobs cannot be invoiced, a bit easier. 08-03-03 Spares:- Invoicing. A new feature in invoicing. When completing an invoice and you wish to apply a discount press D. BUT now, if you wish to increase the prices (eg. a credit card surcharge), you can put in a NEGATIVE (minus) discount, and answer the credit card question Y. NOTE a negative discount without Y for credit card means use the COST PRICE PLUS the Discount. 03-05-03 Spares:- Ordering. A new utility which will list backorders for one or all suppliers. Each entry on the list can be selected and the status changed to ?C (meaning canceled). This will allow users to tidy up their long lists of outstanding orders, and make it easier to keep a track of them using backorder reports. 29-04-03 Spares:- Picking System. Some sites have requested that order numbers be returned when parts are collected from the Picking System. It is now possible to record every use of the picking system OR pick up the existing order numbers. To enable the recording use F2, B, 4. 24-04-03 Debtors:- Auto Account Keeping Fee. The utility to allow users to automatically invoice debtor accounts an account keeping fee, has been updated for GST. If the utility is enabled, and debtor accounts setup, an invoice can be auto generated depending on the criteria selected during account configuration. See How-To Customers - Account Keeping Fee. 23-04-03 Creditors:- Direct deposits. A change to the Prepare Direct Deposits program. Now when payments are prepared, a text file called "LASTDIR.DEPOSITS" is created. This file contains a list of the suppliers and their payments. This file can be used to provide a list for remittances or to pick up details of payments if a system problem stops the printout. The file will remain until the next time deposits are prepared. 15-04-03 Spares:- Customers orders. When a gift certificate has been placed on an order, and is 'picked up', it will now be called GIFT CERT PICKUP instead of GIFT CERTIFICATE. This will mean that it will no longer be automatically removed if the invoice is added to or ESCed from. If other items are added to the invoice for order the normal gift certificate sequence will still work. 14-04-03 Workshop:- Restructure. The workshop restructure program now includes a dislpay of how a job was paid for (as from now) & includes the cashdraw routine. You can now restructure cash jobs and return the money etc. and it will be in the cashdraw for ticking. Pick No. 4 if the credit is to be left on the customer account. 14-04-03 Upgrades:- The Dealquip web site now has a 720days.exe (last 2 years). This has been implemented for those sites that can't or won't do regular updates, or who do not follow the How-To and use old upgrade files. The 720days.exe is going to be a very large file (up to 20 disks full). It should only be used in an emergency situation, as it will take a long time to download & expand. 08-04-03 Account Payable:- Prepare cheques. If a supplier is set up with debtor codes (see below 07-04-03), when you go to prepare cheques that supplier's line entry will have a hash (#) before and after its name. When you try to tick this supplier, a warning box will display showing the outstanding debtor amounts. You will have to confirm with "Y" to tick. Otherwise you may pay someone who owes you money. 07-04-03 Customers:- A new utility for tracking customer sales and details. This utility can save a coded entry for a customer with things such as the date, section, brand, type & capacity of what is sold or worked on it the worshop. These entries can then be searched and a file is created which can be exported to Windows for use in spreadsheets & databases. See F10, 7, F to enable/disable the feature. See F10, 7, G to search and display entries. See How-to Customer DBase usage. See How-to Customer Export DBase. 07-04-03 Spares:- A new feature in invoicing and displaying. If a part is on pick for someone, the total quantity picked will display next to the quantity on hand. You may then enter P to display a list of who & how many are picked for each customer. 07-04-03 Payments:- A new feature in accounts payable. In supplier Maint- enance, B for banking, you can enter up to 4 debtor (customer) codes which relate to the supplier. (i.e. if you also sell stuff to, as well as buy stuff from.) Then in A/P Hold & Release, if a supplier has debtor codes associated, the system will age the debtors and display a line with the outstanding amounts owed to you. This is to try and stop paying suppliers who owe you money. 14-03-03 Sales:- Police book changes. The utility to display/print changes to entries in the Police book now lets you select a start and end date to search. 27-02-03 Spares:- New utility to display customer history in picking system. This utility will display all actions taken relating to a customer and the Picking System. See F2, 2, C. 23-01-03 Banking:- The deposit slip printout now includes account payment cheques, cash sale cheques and total cash to be banked. 21-01-03 G/L:- Two new utilities. Uses the sales history file for parts, which keeps only the last 10 sales. Can be put into the backup if users wanted a list of parts sold every day. 13-12-02 Suppliers:- Addition to bank details. Pressing B for bank details for setting up direct deposits now has an extra field for YOUR account ID with that supplier. This will print on the remittance so suppliers can more easily find you a/c in their system. 09-12-02 Suppliers:- Change to display. Pressing F4 gives a list of up to last 200 Sales orders for a supplier. This now shows qty ordered & received, and lines which have not been fully received will blink. 02-10-02 Debtors:- New feature for tracking who, when, why & how much a customer's credit limit or credit stop was changed. A new utility to print a list of customer orders done prior to a set number of days (default = 3), which have not yet been received or cancelled. At the customer code Id - if you put 3 letters and , a list of customers starting with those letters will be displayed to pick from. Easier than scrolling. 22-07-02 Spares:- New Feature. There is now a facility to add a Credit Return Sheet printout to the end of a credit note. This sheet lists part numbers, descriptions, quantities & BIN locations. If this sheet is printed it will make replacing credited stock back into its correct bin location much easier. See F2, 6, 5 to turn on/off the return sheet print. 21-06-02 Spares:- New Utility. Occasionally when an order is adjusted, the GST amount or the quantity to pass for payment may be wrong. There is a new utility (F2, 3, B) which will allow you to alter some of these possible problems BEFORE you finish passing an order for payment. 19-06-02 Unexpected Errors:- There are several reasons that errors may occur in data. 1. A programming mistake. 2. A user mistake or 3. A corruption in the data files. If it is 1 - tell me & I'll fix it. If it is 2 - get some training. If it is 3 - there is now a utility that you can run to check all data files for their integrity. See F8, 2, A. This is in addition to the one that runs after each backup. This one only looks for Major errors, not the small errors that may occur from time to time. 21-05-02 Spares Labels:- When receiving stock and printing labels, the qty on hand prior to receiving the part can be printed on the label. This lets you check the stock as you receive it. Acts like a mini stocktake every time. IF YOU DON'T WANT OH Qty to print there is a utility to switch it OFF. See F2, 3, A. 03-05-02 IMPORTANT***: There is a new How-To titled 'Emergency Boot Disks' which has instructions on making and using a set of two floppy disks in case of the Main PC not booting up properly. Please print and read this How-To and follow the instructions on it. It may save you having to find your THEOS disks and ringing for help. 02-05-02 Spares:- Customer's orders. The system will now determine if a discount was given at time of invoicing (ordering), and will ask if you wish to use the discounted price or the current Retail price when you pick up the order. 23-04-02 Sales:- Passing for Payment. When passing sales orders for payment a screen showing the 'received' price for each unit and the GST is displayed. You have the option of going straight to passing if the figures are correct OR going to the modification screen where you can change one or more lines on the order. Once changed 'complete the modification' then 'recalculate & do journals' which takes you to the summary screen to continue the passing. 11-04-02 Sales:- Crediting invoices has changed. It now has the cash drawer in it so refunds of cash, card, cust's cheque or EFTPOS can be done. If a account payment is ticked, all invoices relating to that payment will be ticked. Also if an invoice is ticked, all other invoices that relate to that invoice (if paid as part of an account payment) are ticked automatically. New entry type for Direct Deposit - (TT Telegraphic Transfer) See the revised How-To:- Banking - New Procedure. for details. 21-02-02 Banking:- Due to the many ways that EFTPOS transactions are deposited into bank accounts the new "auto EFTPOS banking" can now be enabled or disabled depending on your preference. If disabled, the EFTPOS entries are 'tickable' in "Deposit Slip & Clear". If ticked they will be banked then into the computer. See F10,1,7 to enable/diabled auto EFTPOS. 18-02-02 Web Updates:- Changed so that only programs which are newer than the ones already on your system will be replaced. This should help stop people putting on 'old' upgrades and causing problems. 31-01-02 Banking/Cashdraw:- The new list/tick style cash drawer & banking now has the facility to print the entire list. It also shows the totals at the bottom broken up by type. This is to add up the banking correctly for the next day. At the 'scrolling menu' press F8 and select the type of backup you use to make the changes take effect. 16-11-01 Customer Notes:- A new 'pop-up' utility (SHIFT F11) that allows users to add/edit notes kept on customers. Also has an urgent attention display as well as general sections for spares, w/shop etc. and a search facility. As programs are updated this pop-up will be available in them. This will save having to download every program at once. 12-01-01 Manipulation Report:- New feature - lets you search for a single part number or all parts. Also has print driver added so it can be displayed to the screen (using Edit) as well as printing. 12-11-01 Picking system:- New feature that asks if you want to Unpick ALL parts on pick OR only selective. 09-11-01 Picking System:- If more than 94 items are in a customers picked stock - only the fist 94 wil be transferred into invoicing. The rest remain on pick until you can fit them onto an invoice. 01-11-01 Wages:- A new utility that will allow you to reprint any wages report printed since they are now being saved. See entry 20-09-01 01-11-01 Spares:- Change to Customer stock received report. Now lists parts and invoice number, order number, order date & a caution note to advise checking old orders. (see F2,8,A) 26-10-01 Wages:- Changes to legislation mean that changes have had to be made. You now should include the employers full name and ABN (go into GST Setup to add employer name). Also include the name of the Super Fund and industrial award & classification that the employee works under. (see Setup Employees - payroll setup). Also you should show the period for when the payslip covers. When printing the wages it now asks for the start & end dates. 24-10-01 Police Book:- The Police book has been changed. Users will have to UNDO the Police Book, and then UPDATE the police book, for the changes to take place. See the How-to POLICE BOOK New Usage Rule for all details and explanations. 15-10-01 Workhsop:- Job Maintenance screen has been updated with choice lists instead of old 'F' keys. There is also a new feature where you may put in a "quoted" price and have the job recalculate the sundries and/or labour to cost it to equal the quoted price. 20-09-01 Wages:- The print driver has now been added to the Wages printout. Now when you print or finalise the wages the 'select printer' screen will appear so you can print as many or as few copies as required. This can be done by using the "lubricants" section of sundries in a workshop job for the levy. This means that sublets from certain suppliers sold to a Stock Code, will not have GST charged on them as part of the sale price of the machine. GST will only be calculated on the amount of the sale it needs to be. File contains the part number and quantity on hand and is comma delimited for exporting to a spreadsheet. MUST be run from USER 1 (main PC). Have a DOS disk ready for the file to be copied to. 02-05-01 A new utility to analyse the cash income by supplier in a given time frame. See F10,8. 06-02-01 Workshop kits IDs can be up to 10 characters long. To DELETE an unwanted kit - edit the kit and delete all lines (use F5) and save it as a blank kit. The kit name will be deleted from the list. 02-02-01 Workshop kits are now up to 20 lines. The file whch stores the kits may have to be expanded, so in the 'Create new job' and 'Modify Kits' program there is now an automatic check of the file size. 22-01-01 A new utility in F8,2,9 to display the dates of the command files. This will show the dates of the program files that make up the ASSET system and let users compare the dates with the list available on the internet to see if you have the current files. 19-01-01 In Sales:- If there is a trade on an invoice, a 'Reciprocal Invoice' is now prepared and saved. If required, this reciprocal invoice can be printed (as many times as needed) from F4,3,4. Print them and get your customer to sign it. NOTE: If they have an ABN then you should store it in Customer File Maintenance. 12-01-01 Customers backord search is now much faster. See F2,8,4. 08-01-01 The Customer Search by Grid now can list outstanding invoices by - All/Days back/matching. This is handy to chase debtors who have payments due. (eg Due today from 30 days ago). See Main,G. 05-01-01 A new utility to search for and replace missing creditor entries. If you notice that the creditors go out of balance on the daily audit report, this utility is able to compare the previous day's creditor file and find/replace any entries that may have changed. See A/P,5,4. 05-01-01 There is a new feature in Supplier File Maintenance where you can now keep unlimited notes relating to any supplier. At the prompt line press 'N' for Notes, and you will be placed into the word processor document for that supplier, where you can add/edit/delete any text you wish. 05-01-01 An addition to Spares credit notes lets you place a credit back onto a Status "C" type customer's account. Use selection 6 in the box that comes up. 04-01-01 There is a new feature in Sales stock displaying that will allow users to calculate the profit on a sale based on whether the invoice price is INC or EXC GST. It also includes any claimback that has NOT already been claimed from the purchase of the stock. If an item is still in stock (not sold), you may enter C at the prompt to access the profit calculation box. 03-01-01 The Web->Masterfile utility now allows for a downloaded file to be included into a masterfile of a different name. E.G. If the download is PRTKAP1.EXE {for power products} and the masterfile is PRTKAW1.MASTER {for Kawasaki} the program will combine them together.
